- Our Corporate Assistant will support the Chief Executive Officer and the Board in ensuring the organisation complies with the obligations of an NHS provider and social enterprise while delivering high quality patient care._

- Communication and Relationship Skills_

Provide comprehensive governance and compliance oversight to support the Board of Directors including reporting areas of non-compliance

Act as point of contact and conduit for Non-executive and staff director communication

Deal with governance-related queries, including patient feedback and incidents, on the phone, in writing and face to face which may be of a challenging, complex or sensitive nature. To assess such situations, make necessary decisions quickly managing upwards when required

To liaise with relevant stakeholder organisations including commissioning organisations, other providers, GP consortia and local authorities as a first point of contact for external enquiries.

To maintain and monitor a comprehensive suite of high-quality meeting administration tools; to include minute templates, action logs, agendas, mailing lists, attendance records, membership and terms of reference.

To follow up meetings with the timely issuing of action logs and minutes for agreement with the relevant Meeting Chair.

To ensure venues, facilities and refreshments for corporate events are booked as necessary.

To monitor action against agreed points and ensure these are scheduled for matters arising or the forward planner as appropriate.

To work collaboratively with colleagues in the corporate team to ensure there is sufficient cross cover to ensure support to the Board and its committees at all times.

To support arrangements for the Annual General Meeting, working in conjunction with the Directors.
- Planning and Organisational Skills_

The post holder is required to make decisions and judgements concerning information received in order to prioritise, take appropriate action within pre-agreed boundaries and escalate where appropriate.

To support the organisation overseeing the calendar of meetings of Board, its Committees and other meetings within the governance structure.

To arrange, attend and record specified meetings, accurately and appropriately record discussions, actions and decisions taken.

Oversee the management of meeting agendas; and the collation, and distribution of such information, documents or other papers for associated meetings.

Ensure meeting papers are of an acceptable standard and in line with the organisations agreed format.

Ability to perform tasks while being interrupted by team members and or telephone calls. This will require the ability to multi-task.

Offer general administrative support to the Board of Directors, such as correspondence, enquiries, diary management.

Managing all inbound enquiries, complaints, requests for information from a wide range of stakeholders including patients, carers, the media and politicians, in line with company policy.
- Responsibilities for Policy and Service Development_

Be responsible for following and reviewing systems and processes to support the smooth running of governance delivery according to best practice and legislation.

Manage the continuous review and timely revision of policies as appropriate to ensure all policies remain in date at all times.

Support with the development of appropriate systems to record evidence of monitoring compliance with the organisations governance requirements.

Support the Corporate Team operating in line with organisations processes around the tracking, retention, retrieval and disposal of corporate records.

Ensure personal compliance with organisation policies, procedures and guidelines.

Procurement of goods and services as required in line with authorised limits.

The post holder will be required to work flexibly in response to the needs of the Corporate Team.

Work as part of a team to ensure the delivery of high-quality corporate governance.

To provide cover for other corporate team members as required.

Ensure all records required by legislation and the organisations governance structure are established and maintained, along with any appropriate reports make sure they are available for public inspection.
