Are you an organised, proactive, and detail-oriented individual?
Laguna Motorcycles is the largest motorcycle dealer store in the South-East of England. We are seeking a dedicated Office Assistant to join our team and provide essential support to our Managing Director, HR Department, and Accounts Department.
**Office Assistant - What You’ll Do**:
- **Accounts Department Assistance**:
- Organise and maintain financial records, accurately inputting data.
- Assist with invoice processing and expense tracking.
- Liaise with vendors and suppliers to resolve any invoicing or payment issues.
- Reconcile bank statements and daily till receipts with the dealer management system.
- Handle internal and external queries, via telephone and direct contact.
- **Supporting the Managing Director**:
- Coordinate meetings and assist with administrative tasks.
- Handle confidential information with discretion.
- Prepare reports.
- **HR Department Support**:
- Maintain employee records (both soft and hard copies).
- Update HR databases (e.g., new hires, etc.)
**-* **General Office Duties**:
- Promptly process and distribute incoming post (external and internal).
- Assist with Health & Safety procedures and risk assessments.
- Provide administrative support, including filing, data entry, and managing financial documents.
**Office Assistant - We’re Looking For**:
- Good working knowledge of Microsoft Office Suite - Outlook, Word, Excel, SharePoint, and internal systems.
- Good level of English, both written and spoken.
- Proven experience as an office assistant or in a similar administrative role (desirable).
- Professional communication skills both written and verbal.
- Someone who is resilient, tenacious and confident in chasing payments and negotiating prices with vendors and suppliers.
- Strong organisational and time management skills with the ability to prioritise tasks effectively.
- Excellent attention to detail.
- Ability to work independently and collaboratively.
- Experience of cash-handling and the ability to handle confidential information is essential.
- Experience of working with accounts would be an advantage.
- Educated to at least GCSE standard (or equivalent), including Maths and English.
**Note**:This is an office-based, full-time position based in our Maidstone office.
**Working days**: Monday to Friday, 9.00am to 6.00pm (flexibility can be discussed at interview)
**Salary**:from £11.58 per hour (depending on experience)
