Provide a full and comprehensive Project Management Support service for relocations throughout the Trust, independently respond to correspondence / enquiries and manage conflicting priorities for different schemes. Responsible for scheduling and co-ordinating a number of internal teams and external suppliers for multiple projects, ensuring deadlines are achieved. Provide on-site operational management for relocations, ensuring that any problems or queries are dealt with and rectified in a timely manner. Report any operational issues / defects to the relevant project lead as required.

You will be required to meet with Trust staff on a regular basis to discuss and negotiate relocations and then make the necessary arrangements following this. As part of this, you will be expected to challenge and confirm accommodation requests against want vs need. Liaise with service leads/managers on relocations and ensure teams are fully supported on each project. Engagement and management of stakeholders is critical to ensure successful project execution.

This should be in conjunction with statutory, national and DoH/HTM guidance, ensuring delivery of the applicable facets (Space, Function, Quality etc.) in accordance with the Risk Adjusted Backlog Maintenance Methodology. Responsible for arranging and undertaking space utilisation audits as required. Including data analysis of findings and producing reports of varying levels to suit the intended audience, including Executive level. Responsible for providing monthly room booking reports on a variety of metrics.

Support the Strategy Team in developing schemes to deliver efficiency and productivity savings in line with the agreed CIP schemes and associated targets for the Trust. Develop plans to identify new ways of working and service improvement, which may require ongoing adjustment. Analyse key estates performance indicators or other benchmark data and property cost information that can appropriately inform and influence decisions on estates strategy. Ensure accurate property data, information and financial costs to support business cases.

Support with writing business cases and capital initial documents where appropriate. To research and gain knowledge of flexible working, including innovative furniture and design layout solutions. To support internal and external returns on behalf of the Strategy team, including submission of statistical returns for ERIC, PAM etc. Good understanding of any relevant H&S legislation pertinent to the role.

I.e. Workplace health, safety and welfare. Support with ordering of furniture for capital projects, office reconfigurations etc. Support and advise colleagues on matters relating to furniture.

Maintain up-to-date knowledge of products. You will be responsible for data collection and verification on occupation to enable proposals to be produced for any relocation, new team base or rationalisation proposals. This will also feed into Service Line Reporting for correct apportionment of building costs for occupying teams and external recharging. Support the quarterly SLR return to finance, ensuring up-to-date and accurate occupancy and room booking information.

Provide support and verification on third party occupancy to the Property team for financial re-charging. Work within assigned budgets for ordering of equipment e.g. furniture and external suppliers e.g. removals.

Manage the F&E accommodation request tracker, investigate requirements, process the request to the appropriate team and undertake a site visit to confirm requirements / occupancy. Consistently review and implement the commissioning checklist for all relocations, ensuring support and engagement from all relevant teams. Must be able to meet the travel demands of the role. There is an expectation that this post may travel anywhere within the Trust wide boundary, sometimes requiring multiple visits on successive days.

Plan, organise and carry out specific projects or pieces of work as required. Create and utilise methods for monitoring progress e.g. trackers. Adjusting as necessary for project delays etc.

Interpretation of AutoCAD drawings, suggesting room layouts and amendments to drawings to increase utilisation and functionality. As and when required, support the wider Strategy team with administrative tasks and actions. Supervise and co-ordinate less experienced staff on a day to day basis, and support interviews as required. Decisions and Judgement The post holder will be able to make decisions based upon a range of information sources.

The post holder will work autonomously without daily supervision and independently resolve the majority of issues delegated by the Space Optimisation & Development Lead.
