**Main Purpose**

The main purpose of the operations administrator is to provide a full range of administrative duties for the Operations department, working on multiple activities at the same time within tight timescales.

**Main Responsibilities**
- Prepare all delivery notes, equipment despatch notes and equipment returns notes.
- Book in all equipment rental returns on MS Navision.
- Type up In-House certification.
- Create DNV list and type up DNV certification.
- Create certification packs for sales orders.
- Update hose certification register.
- Scan, save and hyperlink certification to system and update expiry dates.
- Prepare Work Order job packs.
- Update personnel training and competency records.
- Notify 3rd party vendors of off hire dates and update MS Navision to suit.
- Update sales orders with off hire dates on MS Navision.
- Prepare Cargo Summary Tickets.
- Review and file completed Purchase Orders.
- General MS Navision data entry.
- Portal updates for dispatches / returns (Ariba / Wellsafe etc.).
- Send signed Equipment Returns Notes to customers.
- Complete Asset disposal process.
- Allocate equipment to sales orders in MS Navision.
- Answer the main phone line and transfer calls in a professional manner
- Act as an ambassador for safety demonstrating safe behaviours
- The job holder may be required to carry out any other related or associated roles, tasks or duties, which they can be trained, instructed and supervised to do safely and according to changing business requirements.

**Person Specification**

**Knowledge**:

- Understanding of an office environment and admin background beneficial.

**Skills & Competencies**:

- Ability to operate all Microsoft products (Outlook, Word, Excel).
- Customer service skills Good telephone manner.

**Qualifications and certification**:

- National 5 Pass in English & Maths (or equivalent).

**Experience**:

- Previous administrative experience preferred.
- Experience using MS Navision (desirable but not essential).

**Personal qualities**:

- Strong organisational skills.
- Ability to multi-task and work well under pressure.
- Good attention to detail.
- Ability to problem-solve.
- A team player, with a strong willingness and ability to learn.

Schedule:

- Monday to Friday

Ability to commute/relocate:

- Forfar: reliably commute or plan to relocate before starting work (preferred)

**Education**:

- GCSE or equivalent (preferred)

**Experience**:

- Administrative experience: 1 year (preferred)
