**ROLE DEFINITION**:
To provide a full and comprehensive Personal Assistant service to the GP Director
Liaison with other departments and external organisations will be required by the post holder. The post holder will be required to use their own initiative on a daily basis and will also be required to deal with queries coming into the office.

Specific and general duties/tasks are described below. This list is not comprehensive, but intended as a guide to the work expected of the post holder.

**Responsibilities**:

- There will be a requirement to an action list from meetings attended. In addition, agendas and papers for meetings will require to be collated and distrtibuted in a timely manner.
- The post holder may be required to exchange confidential, sensitive or contentious information with others, requiring tact and diplomacy, and there is also a requirement to communicate complicated information to other departments and external contacts, ensuring high standard of communications are in place
- The post holder will be responsible for handling telephone and other communications with sensitivity and confidentiality using personal judgement and acquired knowledge to assess each situation and to deal with accordingly
- The postholder will also be responsible for planning and organising their own time, managing filing systems and the planning of travel and accommodation where necessary.
- There may be a requirement to travel across multiple sites on a weekly basis.
- There will be a requirement to manage postal communication.
- There will be a requirement to support the director with day to day business activities of the property portfolio, including dealing with external agencies and potentially requiring travel.
- There will be a requirement to deal with, diarize and align Director’s work, personal and social commitments
- The post holder will be responsible for managing Director’s home utilities including insurances etc.

- In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, Practice staff and other

healthcare workers. They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.
- Any matters and data alluding to the Director, businesses or personal will be kept strictly confidential

**Health & safety**:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, the practice Health & Safety manual, and the practice Infection Control policy and published procedures. This will include:

- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified
