JOB SUMMARY
To provide support to the Deputy Medical Directors in an efficient, effective and high quality manner and to act as a conduit between the companies Senior Management Team. The post holder will be responsible for the coordination of their workload to meet the demands of the Deputy Medical Directors and for ensuring necessary follow up action and deadlines are met.

KEY DUTIES / RESPONSIBILITIES
1. Responsible for the organisation and provision of personal assistant duties and support to the Deputy Medical Directors. This will include diary management, dictation, word-processing, mail management, file maintenance and the preparation of papers, reports, briefings etc.
2. Establishment of office procedures and the creation of a filing system for the office in line with records management requirements.
3. Research, collation and presentation of information and reports as necessary.
4. Taking appropriate action in relation to mail, telephone and other enquiries to the Deputy Medical Directors ensuring effective messaging and “bring forward” systems are in place and that the necessary follow up action is taken.
5. Drafting correspondence and reports on behalf of the Deputy Medical Directors.
6. To service all meetings including the preparation and timely issue of agenda and papers, production of minutes and progression of business.
7. Organise and co-ordinate all aspects relating to conferences and events which are led by the Director.
8. Arranging virtual and videoconferencing meetings as required
9. Responsible for initiating and follow up action arising from various meetings arranged by the Deputy Medical Directors.
10. Make travel and accommodation arrangements for attendees at conferences, meetings etc.
11. To maintain effective working relationships with key stakeholders both internal and external to the company, maintaining appropriate communication networks and presenting a professional image appropriate to the office of the Medical Director.
12. As required, provide administrative and secretarial support to other members of the senior management team.

Criteria:
1. 1. HNC/HND or equivalent/higher qualification in an administrative field AND 1 years’ experience in clerical/administrative role.
OR
4 GCSEs or equivalent at Grade C or higher, including English AND
2 years’ experience in a clerical/administrative role.
OR
3 years’ experience in a clerical/administrative role

2. 2. OCR/RSA/GCSE Stage 3 Word-processing/Typing (parts 1 & 2) or equivalent qualification
OR
An equivalent standard of word processing skills gained through a minimum of 1 years’ word-processing experience.

3. Experience of Microsoft office packages to include Word, PowerPoint and Excel

4. Experience of minute taking and organising/servicing meetings
