Personal Assistant to Managing Director

**Job Title: Personal Assistant**:
- **Job Summary**:
**Roles and Responsibilities**:
**1. Managing Schedules**: Organize appointments, meetings, and travel arrangements for the senior leadership team reporting directly to the organisation founder. Arrange an on-call system using problem solving skills and effective time management for the team.
**3. Personal Errands**: Run errands such as grocery shopping, picking up prescriptions, and managing household tasks. Plan for the MD in all areas where required.
**4. Event Planning**:Coordinate events, parties, and special occasions for the organisation. Manage financial budgets and effective budgeting skills.
**5. Communication**:Act as a point of contact and liaison between the MD and other parties including employees, clients, and wider multi-disciplinary teams. Arrange and attend meetings on behalf of the MD and alongside the director. Take notes and complete reports - present data and findings.
**6. Research**: Conduct research on diverse topics and provide information and reports to the individual.
**7. Organizational Support**: Assist with organizing documents, files, and other materials. Meet deadlines & manage projects.
**8. Personal Support**:Provide emotional support, companionship, and assistance with personal tasks as needed.
**9. Confidentiality**: Maintain confidentiality and discretion in handling sensitive information. Show ability and understanding of general data protection regulations.
**10. Lead a team** of professionals as part of the senior leadership team including maintaining, monitoring, and reviewing progress reports, human resources & administrative support to the team.
**Qualifications and Skills**:
- Previous experience as a Personal Assistant or in a similar role.
- Strong organizational and time-management skills.
- Ability to drive as part of the role.
- Leadership experience desirable.
- Strategic planning experience essential - assisting in decision making, setting priorities & ensuring alignment over all departments.
- Excellent communication and interpersonal abilities with internal and external relations representing the organisation as part of the senior leadership team.
- Ability to prioritize tasks and work independently.
- Awareness of working alongside people with neurodiverse needs.
- Knowledge of health and social care settings essential as supporting policy development and implementation, monitoring efficiency and effectiveness is part of this role.
- Knowledge of childcare & education regulations desirable.
- Ability to effectively follow audits, complete reports and share data with the senior leadership team as instructed by the MD.
Location: Anywhere the MD is located, escort the MD as part of her role, driving is especial part of the role. Central office location is from our head offices in Hoylake, Merseyside.

Hours: This is an example of a schedule - Times may be altered in accordance with the business needs and availability of others.
Monday - 08:30 - 16:00 (7.5) 2 x 10-minute breaks one at 10:30 other at 12:30

Thurs 08:30 - 16:00 (7.5)
Fri 08:30 - 14:00 5.5 (10:30 paid break) 35 hours a week

**Requirements**:
- Proficient in using Microsoft Teams, Excel, Google Suite (Docs, Sheets, Slides) for document management and collaboration
- Strong administrative and organizational skills with attention to detail
- Excellent data entry skills with accuracy and speed
- Professional phone etiquette with excellent verbal and written communication skills
- Familiarity with office procedures and equipment
- Knowledge of QuickBooks or other accounting software is a plus
- Typing speed of at least 50 words per minute
**Job Types**: Part-time, Fixed term contract

**Salary**: £11.48 per hour
