**JOB DESCRIPTION**

We are recruiting a professional administrator with experience gained in a construction, fit-out or similar environment. This role will provide assistance to the Construction and Commercial Teams as well as ad-hoc tasks for and alongside the Finance department.
**Duties include but are not limited to**
Managing all construction and commercial administration including typing, filing and record keeping
Ensuring the head office and site based projects are supplied with stationery, PPE, Welfare and other resources and consumables
Co-ordinating all work permits and deliveries (head office and site)
Preparation and compilation of Health & Safety files for site
Preparation and compilation of O&M Manuals
Raising Subcontractor and Supplier Orders
Answering telephone
Monitor on hire plant and liaise with site managers to rectify any over hiring
Assist in preparation of correspondence for defective works and missing or defective materials
Provide ‘helpdesk’ aftercare during the defects period including co ordination & monitoring of actions made.
Tracking and updating of sub-contractor’s Collateral Warranties matrix
Maintaining & collating documentation in connection with ISO 9001 and ISO14001
Maintaining & collating documentation in connection with Breeam
Collate supporting documentation for accreditation annual renewals - Safe Contractor
Tracking and updating of PQQ information for review
Contribute to the review and development of Procedures & Standards
Co-ordination of set up of new subcontractors and suppliers, including maintenance of insurances database
Booking hotel and travel
Credit card purchases and reconciliation
Maintaining archive register and facility
Ad-hoc tasks working with finance department including some invoice posting
**About you**
You enjoy being part of an SME environment and understand that there are peaks and troughs in workloads but there’s always an opportunity to roll your sleeves up.
You are intuitive to your surroundings and are friendly, discrete and maintain a bright and positive attitude.
You are able to work effectively under pressure and good at prioritising and planning workloads.
You have experience in a similar environment, excellent and clear communication skills and have a good level of education.
You are competent with Excel, Word, O365. You will be required to raise and maintain documentation within our ERP system, training given.
**Company Benefits**
Salary range £26,000 to £28,000 dependent upon experience
Hours: 09:00 to 17:00 with a half hour unpaid lunch break

33 days annual leave (incl bank holidays)
