**The role**:
**What will you do**:
**Diary and contact management**
- Proactively manage and maintain HoS diaries and other relevant team members, scheduling appointments and co-ordinating internal meetings and customer product demos ensuring all work activities are scheduled effectively, including the identification and resolution of potential challenges and clashes.
- Monitor individual responses for meetings and update as required. Ensure relevant materials and information is provided in advance of each meeting.
- Organising travel arrangements through the firm's travel company, booking and confirmation of reservations, flights, hotels, car transfers, ordering currency and expense claims and producing detailed itineraries.

**Administrative tasks**
- Ownership, updating and maintenance of sales pipeline software. Support in development of dashboards and reports to management/product teams to enable visibility of pipeline.
- Responsible for maintenance and update of sales materials across multiple platforms (web, intranet (Sharepoint), social, digital media etc). Development of update schedule and liaison with product teams to ensure updates are made.
- Active engagement with LinkedIn (Sales navigator) as a key lead generation channel. Responsible for maintenance and update of lead generation lists, initial engagement with prospects and management/execution of HoS social media plan.
- Upon successful sale, liaison with new business operations team to onboard clients and production of work orders via Docusign platform for signature and filing.
- Supporting with the preparation and formatting of internal sales training materials.

**Preparation of key documents and correspondence**
- Drafting correspondence as required including responding to initial sales enquiries using established template bank. Ongoing maintenance of template bank will be required.
- Proof-reading all work to ensure that completed documents are delivered accurately and to a consistently high standard.Support with presentations for customer demos/bids if required by submitting to Document Management Centre to ensure they meet the firm's branding and house style guidelines.

**What we are looking for**:
**Education / Qualifications / Experience**:

- Minimum 18 months experience working as a secretary/team administrator within a busy corporate or professional services environment.
- Ability to deal with senior stakeholders, both internally and within customer organisations.
- Interest in technology / sales methodology desirable.

**Knowledge and Technical Skills**:

- Organisation and prioritisation key success factors.
- Experience of working with house-styles and branding.
- Demonstrated use of LinkedIn Sale Navigator desirable.
- Good working knowledge of document and client relationship management systems, OCR/PDF software.
