Role purpose

Supporting the commercial/project teams on administrative procedures/requirements.
Where required assist/support business administrative procedures/requirements.

Key accountabilities

Project - Procurement

Requisitions/Purchase Orders overview - Receiving of requisitions from the project team, obtaining signatures if not done so beforehand using Adobe sign. Issuing of Purchase Orders once requisitions all approved. In some cases, you will be required to order goods from various supply chain members.
Requisition spreadsheet
- Maintaining this document daily - saved in SharePoint.
Purchase Order spreadsheet - Maintaining this document daily - saved in SharePoint.
GRN's - You will be the central point for collating delivery notes & updating the purchase order spreadsheet, scanning of these documents & saving into SharePoint.
REQ's & PO's SharePoint file - Ensuring all documents are saved in each requisition file set up.
Navision (ISG Accounting package) - Updating purchase order spreadsheet with invoices received to ensure month end accrual is accurate.
Training and becoming competent in Smartsource procurement system (once live).

Project - Timesheets

On a weekly basis (Monday's) issue new timesheet for all Project related staff to complete.
Maintenance of the timesheets - example add in new starters.
Chase outstanding hours for those not completed.
Review with commercial lead before issue to Client.

Project - Ad hoc tasks

Assist with any ad hoc tasks from the commercial team.
Input commercial manager payment notices to ISG system
- deal with ISG accounts teams to monitor and process payments.
Support, assist and train project team using our procurement system.

Skills & experience

Have a professional, proactive approach.
Be an effective communicator and have experience in liaising internally and externally with various stakeholders.
Have an organised and methodical nature
- work individually and as part of the wider project team.
Be diligent and ensure work is checked and correct before submitting.
Understand basic accounting principles and have experience in various reporting requirements.
Be flexible and willing to travel when required.
Be structured and able to manage time effectively to hit deadlines.
