**Job summary**:

- This is an opportunity to play a vital role providing the co-ordination and administration necessary for the successful delivery of a significant and complex range of work, including establishing the Commission’s new Strategic Planning Unit, and coordinating a major, highly visible transformational change programme.
- You will be expected to proactively and independently develop and maintain the tools and processes needed for the Strategic Planning Unit to effectively deliver its functions and for the successful management of change programmes on behalf of the programme manager.
- You will build trusted relationships with colleagues across the Senedd and work closely with them to support the successful delivery of SPU objectives and programme outcomes.
- In addition to providing day to day coordination support for Strategic Planning Unit, the post-holder will act as the secretariat for relevant planning, portfolio and programme management boards, ensuring decisions are clearly logged and documentation is of a high standard, kept up-to-date, and circulated to all parties in a timely fashion.

Key tasks:

- Be responsible for managing the coordination of the SPU and its strategic

planning and portfolio functions and coordinating any major transformational
- change programmes being managed within the SPU.- Develop and maintain coordination processes and tools to support the Head of

the SPU in delivering effective strategic planning and portfolio management
- functions, and to support programme managers in ensuring programme
- structures, operations and plans are designed, updated and delivered to realise
- programme outcomes.- Support the Head of the SPU and programme managers in ensuring all

monitoring, progress and financial reports are prepared consistently and
- circulated in a timely fashion, including leading on the collection of required
- information and data.- Develop and maintain relevant corporate data sets as required by the SPU to

carry out its strategic planning and portfolio management functions.- Take responsibility for administering SPU project portfolio data on the relevant

corporate systems- Act as secretariat for relevant planning, portfolio and programme management

boards and groups:

- ensuring stakeholders input into reports in a consistent, timely and
- accurate fashion;
- collating and distributing papers in a timely fashion;
- scheduling and organising meetings and workshops.- Provide administrative support to the Head of SPU and relevant programme

managers.**Person specification**:
Job Specific criteria:
1. Excellent communication skills, to clearly communicate complex information and
process as well as being able to present information at a high standard with the
ability to cover key points concisely and clearly.
2. Strong organisation, attention to detail, and time management skills with the
ability to prioritise and meet competing deadlines, responding flexibly to new
demands.
3. Strong interpersonal skills, including the ability to build successful relationships
with internal and external stakeholders to deliver results.

Desirable
1. Working knowledge of Microsoft Project or Microsoft Project for the Web
2. Experience of assisting with the delivery of a project/programme. from start to
implementation
