**We are looking for an Occupational Health Administrator to join our team**:
**Overview**:
As an experienced healthcare administrator, you will provide administrative support to the Occupational Health team. The role is based at World Headquarters in the Occupational Health Department. This role will require you to play an active role in the efficient delivery of this service. Within the role you will use your expertise in data input, database management, diary management and coordination and preparation of reports. The role will also include writing and preparing letters and maintenance and development of office systems (including OPAS, the department’s occupational health system).

The Service currently employs five Occupational Health Nurses, an Occupational Health Physician, and a full-time physiotherapist. We provide a full remit of occupational health services to staff.

**Key areas of responsibilites**:

- Act as a Receptionist for the department.
- Set up reception ready for clinics.
- Greet patients arriving at clinic and book them in.
- Carry out inputting of all clinic activity, ensuring it is accurately recorded on relevant clinic systems and databases, ensure all paper and electronic information is accurately recorded.
- Ensure that any ill patients who present at reception or by phone call to the clinic are dealt with appropriately.
- Retrieve and file patient records.
- Maintain high standards of confidentiality and data protection.
- Maintain high standards of customer care to clinic users at all times.
- Book appointments using appointments database.
- To participate in the monitoring of standards and performance in the clinic area, including the implementation of clinic audits, stock taking procedures and client surveys.
- Carry out general office duties
- Provide point of contact for users of the clinic, answering queries and dealing with telephone calls.
- Carry out all necessary general office duties, e.g., filing, photocopying, printing, scanning, post etc.as required.
- Ensure departmental security is maintained.
- To maintain and improve own knowledge and competence through continuing professional development

**Experience**
- Working within a customer focused environment and dealing with customers face to face and over the phone
- Data entry and analysis

**Knowledge, skills & abilities**
- Excellent verbal communication skills and telephone manner
- Excellent interpersonal skills, ability to relate to a wide range of people and explain information simply
- Computer literate with excellent keyboard skills good working knowledge of office processes
- Ability to prioritise and work proactively

**Education and Training**
- Educated to GCSE level or equivalent

**Desirable**
- NVQ Level 2 or above customer care qualification (or equivalent)
- Experience in clinic administration

**Experience**
- Medical Receptionist: 1 year (preferred)
