The Urgent Primary Care service within Aneurin Bevan is looking for enthusiastic and motivated individuals to join the operational team as the Admin Support.

We are looking to appoint someone who embraces change and wants to develop a broad base of experience across the service to join our Operational team.

The Urgent Primary Care service is responsible for the delivery of care during the out of hours and bank holiday periods for all patients with an urgent care need in Gwent, re-directions of patients during the 24/7 period.

The ability to speak Welsh is desirable for this role; Welsh and/or English speakers are equally welcome to apply.

The service provides urgent primary care across a wide geographical area with bases at Ysbyty Ystrad Fawr, Royal Gwent Hospital and Nevill Hall Hospital and Vantage Point House in Cwmbran. The service also provides home visiting services for palliative and housebound patients for which the transport element of the service is key.
- To deal with enquiries promptly informing line manager of any problems. To maintain good communication and liaise with other staff, departments and the public courteously.
- To carry out office/clerical duties including filing, photocopying, post distribution and procession faxes in a timely manner. Where filing is undertaken, post holder to ensure prompt and accurate filing of correspondence
- Being first point of contact to deal with external phone enquiries and transfer calls to the correct department in accordance with Data Protection and confidentiality.
- To be able to prioritise tasks in order of importance to ensure tasks are completed on time.
- To continue to update IT skills’ as relevant to the post.
- Provide general copy typing of letters, reports, flip charts etc following them through to be checked, signed and distributed within specified timescales.
- Undertake photocopying, printing, filing, faxing, laminating, binding etc.
- Maintain centrally held databases ensuring information is kept up to date and retrieve information as required from them.
- Make up files (both clinical and general) as required and in accordance with departmental and health record standards.
- Process requisitions and invoices via the Oracle system and chase outstanding actions as appropriate.
- Develop documentation that is in service user friendly format where applicable.
- Contribute to the development, standardisation and implementation of systems and processes within the department.
- Source and book venues for meetings, training events, etc.
- Act as point of contact for the notification of faults/issues and process requests via the relevant Helpdesk.
- Maintain good communication with colleagues, clinicians and managers across the Directorate.
- Verifying bank scheduling
- Recording of patient scripts
- Patient amalgamation on Adastra
- Deal with any prescription queries, Special Patient Notes, DNACPR and direct appropriately
- Deal with any stock / pharmacy deliveries. Develop system to keep supplies of office stationery up to date and replenishing as needed using the Oracle system.
- Assist Transport Team when required after firstly checking with Line Manager
- Request Access cards for new staff, keeping up to date log for audit purposes.
- Nurse proforma queries.
