**JOB DESCRIPTION**
**Job Title**: Practice Receptionist and administration duties
**Responsible to**: Practice Manager
**Accountable to**: The General Practitioners in the Limited Company

**Reception Duties**: This list is not exhaustive there will be other duties as the requirements of the NHS and practice changes.
- Greet all patients courteously on arrival, as you are the front line representative of the practice you are expected to behave in a professional and polite manner at all times.
- Answer the telephone dealing with or redirecting enquiries.
- Handle general enquiries referring to appropriate person where necessary
- Make new, follow-up and triage appointments.
- Accept and cascade messages for the Practice Nurse, and other team members
- Record requests for home visits on screen and verbally inform GP if you think it is
Urgent.
- Register new patients - following practice policy -. To be trained in GP to GP
- Maintain supplies of stationery in reception area clinical rooms
- Ensure all clinical rooms are replenished with stationary, prescriptions & supplies
Open mail and distribute as appropriate. Leave private, confidential andPersonal mail unopened on Practice Manager’s Pigeonhole or as directed.
- Assist elderly patients with E-referral appointments
**CONFIDENTIALITY**, remember at all times that patient confidentiality is of paramount importance. You have been given a confidentiality booklet please ensure you are familiar with its contents.
This practice has been accredited for IM&T (Information Management & Technology) and guidance on all aspects of Information Governance, confidentiality and third party access must be followed. Training will be given

**Clerical Duties**
- **Cancer & Palliative Care** - to log all 2 week target referrals check that they have been received by telephoning department after e
- referral sent. Call patient within the 2 week target time to check that they have received their appointment
Read coding data onto clinical system. Failsafe guidelines.
- Prepare computerised repeat prescriptions following practice protocol and set out for verification and signature of doctor. Process Electronic prescriptions to GP for onward passage to pharmacy.
- To keep up to date with training on the clinical system
Make appointments for hospital transport.
**Quality and Outcome Indicators** are very important to the financial survival of general practice you will be allocated to a QOF administration team and be responsible for certain call and recall systems on either clinical or administration indicators.
**Clinical Commissioning Group**. Although you may not be directly involved in this process there will be a short training session on the principle.
- Comply with practice computer security policy and Smart card procedures at all times.
You will be asked to register for a Smart card and will need to provide personal identification to the Primary Care Trust.
- Checking your NHS mail
- Giving out test results as per practice guidelines
- Training on how to process Out of Hours Reports
- Training on how to process Discharge Summaries
- EMIS WEB training as per induction on Appointment Templates, Population reporting, searches and read coding. Patient registration, printing leavers summaries etc.
- Child Protection reports requests must be passed to GP with certain timeframes
- Awareness of initiating a Significant Event and reporting adverse incidents on appropriate forms
- Using recall system for Childhood immunisations and other seasonal vaccinations
**CONSENT AND CONFIDENTIALITY ARE OF PARAMOUNT IMPORTANCE IN THE**
**GENERAL PRACTICE SETTING - TRAINING WILL BE GIVEN.**
**General Duties**
- Each morning, open premises, check heating and ventilation and restore telephone service.
- Ensure Jayex self -check in is up and running
- Log fridge temperatures
- Ensure the fridge is checked every morning for specimens for the courier.
- Post mail as necessary ensuring it is done on a daily basis. When posting prescriptions to patients or chemists this must be recorded in the patient’s electronic medical record.
- Check heating, set telephone transfer/answer machine, set burglar alarm and lock up premises. Follow practice procedure.
- Undertake any other duties as agreed with the Practice.
