We are looking to recruit a Medical Administrator to joinn our friendly Practice team in Romford. Please note, this is a 6 months fixed term contract.

The Adminstrator we are looking for must have good communication skills, attention to detail, a 'can-do' attitude and is able to deal with both patients and surgery staff face to face and over the telephone in a professional manner.

The role is for 30 hours per week Monday to Friday from 10 am till 4 pm.

The job holder is responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS). To assist in other administration areas as needed.

The following are the core responsibilities of the Administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Typing letters, reports and associated documentation as required

b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

c. Process all enquires in an effective manner

d. Maintain an accurate referrals database

f. Update and maintain cancer safety netting register

g. Process recall letters as requested

h. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records

i. Input data into the patient’s healthcare records as necessary

j. Process referrals using the electronic referral system (ERS)

k. Process requests for information i.e. SARs, insurance / solicitor’s letters and DVLA forms

l. Process PMAR (Private Medical Attendant Report)

m. Read code data on EMIS

n. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

o. Process all administrative queries as necessary

p. Carry out system searches as requested

q. Maintain a clean, tidy, effective working area at all times

r. Asstist the scanning/coding team

s. Support all clinical staff with general administrative tasks as requested

In addition to the primary responsibilities, the administrator may be requested to:
a. Support secretarial and reception staff, providing cover during staff absences

b. Complete opening and closing procedures in accordance with the duty rota

c. Assist the HR administrator with all clerical and administrative duties

d. To open, date and distribute daily mail, including dropping off outgoing and recorded delivery post. Franking outgoing post

e. Maintain adequate supplies of office stationery and ensure printers and copier machines are refilled with paper at all times

f. Any other duty as allocated by Practice manager, Deputy Practice manager or Partners

**Job Type**: Fixed term contract

**Salary**: £10.50 per hour

- GCSE or equivalent (preferred)
