As part of the home’s team you will, at all times, need to provide a professional “front-of-house” welcome to all visitors to the home.

You must personally project a professional image for Porthaven Care Homes LLP (Porthaven), through person to person and telephone interaction. Working and liaising with the Home Administrator (“HA”) and Home Manager (“HM”) and Porthaven Head Office (“HO”) ensure effective, efficient practices within the home.

**Primary Responsibilities**
- Promote the Home and Porthaven as a provider of high quality care.
- Organise visits for perspective new residents, liaising with the Home Manager.
- Receive all incoming telephone calls in a timely manner (4 rings max) and re-direct as appropriate. Ensure that messages are passed on promptly to the appropriate person whilst observing the need for confidentiality. Full knowledge of the telephone system is essential as you will be required to hold calls whilst transferring other.
- Meet and greet all guests making sure they have signed into the building. Inform the Home Administrator / Home Manager of any professional visitors to the home before they are directed to their appointment.
- Ensure sufficient office and stationery consumables are available, stock take the stationery on a monthly basis, making out an appropriate order for the Home Administrator to authorize for processing.
- Photocopying and scanning as and when required, while ensuring economic use of all resources.
- Receive the mail making sure all “Home Mail” is delivered to the Home Administrator whilst resident mail is delivered to the appropriate floor. Posting all outgoing mail for the home.
- Recording any new staff members for uniforms & badges ready for Home Administrator to order.
- Completion of the Home Admissions book for all new residents & discharges.
- Ensure that all deliveries to the home are acknowledged and delivered to the appropriate department.
- Ensure that the reception area is maintained to a clean and tidy standard at all times.
- Banking / Post if required.

**Knowledge and Skill Requirements**
- Excellent reading, writing, and arithmetic skills required.
- Competent in the use of Microsoft Office Software.
- Discretion in the handling of confidential information.
- Pleasant and effective telephone manner.

**Personal Qualities**
- Suitably dressed and of good appearance, with a pleasant approachable manner.
- Ability to communicate effectively with a wide range of people.
- Strong self-motivation and flexible team-member.
- Ability to multi-task and prioritize between tasks.

**Working Conditions**
- Working conditions are normal for an office within a care home environment.

- Maintain good working relationships with all colleagues at all times.
