Roles and responsibilities
- Support and deliver a comprehensive senior level administrative/secretarial service to Directors.
- Convene and provide excellent and effective administrative support including the provision of papers, information and arrangements in addition to servicing, attending meetings, minuting and reporting on progress as appropriate and managing outputs and actions in a timely and effective manner.
- Draft correspondence of various natures as required including taking personal responsibility for correspondence on particular matters.
- Exercise judgement when dealing with complex matters whilst identifying possible solutions as appropriate.
- Embrace the culture of continuous improvement and take responsibility to deliver and improve systems, processes and service delivery within the team.
- Prepare written reports, management information and correspondence on behalf of Directors
- Record and monitor financial information as part of the budget monitoring process including ordering goods and services and be responsible for ensuring that an effective system for the administration of purchases is in place.
- Managing external contracts/SLA’s
- Keeping all insurances up to date.
- Facilitate training sessions.
- Booking company travel and assist with organising events.

The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

**Experience**:

- Experience of Business Support/Personal Assistant work for Senior Managers in Public or Private Sector desirable.
- Experience of working in a multi-disciplinary environment.
- Experience in effective use of a wide range of IT systems.
- Experience of dealing with correspondence, sometimes contentious in a confidential and sensitive manner.

**Skills & Abilities**:

- Proven and positive attitude to working in a fast moving environment, combined with positive attitude to change.
- Proven ability to act on own initiative. Ability to refer issues to Directors only when full facts analysed and potential solutions evaluated.
- Minute taking skills and experience are desirable for this role.
- Able to take responsibility for own actions by making timely decisions based on evidence available. Ability to evaluate a variety of solutions before taking actions to implement them.
- An understanding of the values and culture which contribute to a quality customer experience.
- Ability to write reports, letters and other documentation on own initiative and without direction and to write fluently, clearly and concisely.
- Excellent interpersonal and negotiation skills, in relation to a range of people and organisations.
- Strong IT skills.

**Job Type**: Part-time

**Salary**: £17,550.00 per year

Expected hours: 22.5 per week
