**Job Summary**:
**Main Responsibilities of the Post**
- To provide core aspects of administrative support to the Senior Management Team, attending meetings and minute taking, as required inc. HR meetings.
- To be responsible for the management of diaries, including scheduling meetings and resolving diary conflicts, whilst ensuring sufficient breaks in the working day and considering the wellbeing of the team.
- To prepare documents for members of the Senior Management Team in advance of meetings, including agenda’s, papers for circulation, memos, or presentations.
- To minute Board and Committee Meetings (meetings may be outside of core working hours).
- To have a broad knowledge of the full range of Microsoft Office tools and how they can be used to support administrative functions.
- To maintain good levels of communication both internal and external of the organisation.
- To make all necessary arrangements in relation to travel, accommodation etc. for the Senior Management Team.
- To organise and arrange events, including but not limited to away-days.
- To deal with telephone calls sensitively, recording messages and ensuring these reach the appropriate member of the team using agreed procedures.
- To create and maintain key distribution lists.
- To develop, maintain and administer effective filing systems, manually and electronically for the team, when required.
- Advertising the organisations vacancies on a range of job boards (including social media via PR and Communications colleagues.
- Retrieving and distributing CVs and Job Applications internally as appropriate.
- Arranging interviews and attending interviews if requested to do so.
- Assist in the preparations of Inductions for all new staff including onboarding staff
- To cover duties in the office where required.

Qualifications:

- Evidence of continuing professional development.
- NVQ in Business Administration Level 2
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to prioritize tasks effectively
- Previous experience in an administrative role is preferred
- Fully computer literate with a good working knowledge of Microsoft 365 and programs such as Word and Excel.
- Confident using Teams, Outlook and managing calendars.
