Sales Administrator

**JOB PURPOSE**:
To provide sales administration support as required in relation to the sale or hire of new and used trucks, through all channels, including direct sale, rental and indirect sales. To provide administration support to the Heli preparation centre and the direct sales team. To ensure all costings, records and data are complete and accurate using agreed processes and systems.
**PERSON SPECIFICATION**:
Essential; An efficient and flexible team player with a willingness to learn and adapt to new processes and systems, with very good communication and IT skills (MS Office, specifically excel) and a strong attention to detail. An ability to work on own initiative, prioritise workload and meet deadlines.
Desirable; Experience of working within a busy sales office environment, supporting remote sales teams and an understanding of the materials handling industry, specifically rental. Experience of utilising recognised software packages and ERP systems (Protean, Autoline, SAP etc).
**CORE ACTIVITIES**:
Receive sales packs and order all ancillaries from third party suppliers, update Daybook accordingly, including lead times. Technical specifications to be checked with technical support manager ensuring accuracy of data received and entered onto various business systems in a timely manner.
Create and process all Work in Progress (WIP) (job cards) in a timely manner including required H & S documentation for the workshop.
Enter all Timesheet data onto system in a timely and accurate manner.
Ensure cost control by checking Timesheets, Job Sheets and Parts Invoices.
Invoice off all completed all WIPs in a timely manner keeping in mind the departments performance targets.
Ensure all trucks, ancillaries and parts have a Goods Received Note (GRN) accurately and relevant systems are updated accordingly.
Raise sundry purchase orders and book them in as and when required.
Validate and analyse costings prepared by the sales team using agreed company standards. (Sales protocol)
Obtain costings related to sales deals from appropriate internal colleagues to help in the production of sales packs.
Raise and resolve queries directly with the sales team, senior management, internal colleagues and where necessary customers.
Ensure the timely and accurate updating of key business systems and processes, to include but not limited to; The daybook, sales reporting and Autoline.
Key point of contact for the sales team with regards to new and used equipment, both stock and factory order
Assist in the analysis and production of KPI data relating to sales (all channels) activity
Raise invoices as required relating to all sales channels, including but not limited to direct sales, indirect sales and rental.
Raise factory orders and prepare all associated documentation in line with company procedures.
Ensure invoices are raised in line with companies accounting policies.
Manage the process of capitalisation of costs onto equipment, ensuring correct process / authorisation is followed.
Ensure the timely and accurate updating of truck location data on Autoline.
Raise and process purchase orders in line with sales packs.
Organise the transport of trucks for all sales channels, including but not limited to direct sale, indirect sales and rental.
Submit holiday and sickness documents to HR and update the system diary.
Receive, verify, log, and file all incoming sales packs, prepare a draft Viability Calculator (VC) and complete once relevant inspections and estimates received.
Any such duties as may be reasonably required to perform within the scope of your knowledge, skills and ability.
Pay: £21,393.45-£28,399.89 per year
