**Job title: Medical Secretary, Administration Team**

**Salary: A3 Role Profile - £19,861.01 - £20,543.82**

**Location: Workington GP Practice**

**Role Summary**

Workington GP Practice have an exciting opportunity for enthusiastic individuals to join us as a Secretary as part of our administration team within the newly merged, 5 site practice. Working within a supportive, innovative team to provide the secretarial function to the Workington Practice.

**Key Responsibilities**
- Processing of clinical referrals
- Checking Lexacom (dictation system) daily for dictations, provide an efficient audio, copy typing and word processing service for GPs as required. This includes the typing of patient referrals, in an accurate manner.
- Checking task list for new referrals and those awaiting results or reports
- Checking workflow and processing incoming letters
- Checking eRS worklist for rejections and redirections and deal with all related queries from patients and hospitals.
- To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- Willing to provide overtime cover for holiday and sickness if required.

- To participate in clinic forums, groups or committees as required.
- To attend all mandatory training and updates
- To participate in appraisals and attend study days and further training as appropriate to the post.
- To be responsible, with management support, for their own personal development.

**Education/Qualifications**
- Educated to GSCE in English (or equivalent)
- Further education

**Previous Experience**
- Previous healthcare industry administrative background with knowledge/awareness of primary care
- Strong sense of patient focus and delivering exception customer service in a health setting
- Experience of handling a diverse workload in both a busy administrative and clinical setting
- Ability to work effectively with people from a range of diverse backgrounds, as well as a range of healthcare professionals
- Experience of adapting a rapidly changing workload and direction
- Experience in a secretarial role
- Previous experience of working in primary care
- Experience of data collection and data entry

**Skills/Knowledge/Ability**
- Excellent organisational and interpersonal skills
- Excellent verbal and written communication skills
- Excellent time management skills
- Proficient with Microsoft Office: Word/Excel/Outlook
- Able to work on own initiative
- Able to handle patient data and information in a confidential and sensitive fashion
- Able to analyse problems and to develop practical and workable solutions to address them
- Able to persuade and influence people to engage in service improvements
- Experience with EMIS and other practice management systems
