**Job summary**:
An excellent opportunity has arisen for Ash Trees Surgery to recruit a Medical Secretary.

We are currently looking for an enthusiastic Medical Secretary to join our team who operate across our 6 sites; you will have one site identified as your main site, but you may be asked to work at any of our sites as required.

This is a vital role which requires strong customer service skills, you will provide our patient population with a high quality, professional service and assist the public in accessing other service providers.

As a medical Secretary you will act as the link for effectively communicating between external agencies and health care professionals, patients, their carers and the surgery. To work accurately and methodically, in a timely manner, delivering quality referrals whilst paying attention to detail and demonstrating a good knowledge of medical terminology. Displaying excellent IT and organisational skills with good spelling and use of grammar is essential to this role, as is the ability to remain professional under pressure. Working effectively within the team, whilst using your own initiative to support the wider team.

**Main Duties and Responsibilities**:

- To provide and be responsible for undertaking a wide range of secretary duties and providing efficient administrative support to the practice and our patients
- To liaise with GPs, Consultants, external healthcare professionals/providers, patients, and their families as necessary
- To undertake administrative tasks associated with the referral of patients in a timely manner and to accurately maintain the practice records of referrals, including electronic referrals
- Liaise with external agencies such as our local hospitals and community services
- To accurately update and monitor patient records
- Using EMIS tasks take appropriate instruction and action all GP/Health Care Professional requests
- Support all aspects of referral management using the electronic referral system (ESR)
- Demonstrate a sound knowledge of secondary/primary care, community services, referral pathways and criteria’s
- Assist and advise on the appropriateness of these referral pathways, demonstrate your knowledge in relation to the guidelines, available services and clinical exceptions as this is pivotal to the role.
- Keeping abreast of any service or pathway changes
- Accurately recording and conveying messages
- Accountable for generated electronic referrals & progression of urgent referrals relating to 2 week wait, rapid access chest pain clinic, urology one stop and open Gastroscopy/Endoscopy.
- Providing an administrative function for meetings as required
- Communicating with patients on sensitive issues and arranging necessary paperwork & appointments
- Adhering to Ash Trees confidentiality policy at all times
- Following up and requesting outstanding clinic letters, results, appointments
- Expediting appointments if appropriate to do so
- Maintenance of web referrals on our Electronic Referral System (eRS) advising GPs of any rejected referrals or advice and guidance (A&G) outcomes, ensuring these are accurately recorded and conveyed
- Regular Maintenance of the EMIS referral management system
- Providing a Gold Standard for palliative care patients and keeping all relevant agencies informed of any changes
- Updating and maintaining the Ash Trees palliative care register
- Producing and recording of DNACPRs/DS1500 forms
- Inputting patient data and sharing with our out of hours (OOH) systems and North West Ambulance Service (NWAS) systems as required
- To be accessible for and provide support to the (Patient Advisors) PAT team as required
