**Parish Administrator**

The Parish of Tamworth is the Church of England in Tamworth, comprising the churches of St. Editha (Tamworth), St. Chad (Hopwas), St. Andrew (Kettlebrook) and St. Francis (Leyfields). Our parish covers the whole town of Tamworth and some outlying areas, a population of about 25000 people.

The church has been working in Tamworth for over 1200 years; we are well placed at the heart of our community and the churches are committed to being places of worship, welcome and wonder for the whole town and beyond.

We are looking for a dependable, enthusiastic, thoughtful person with an eye for detail who can balance the many and varied administrative tasks required to ensure that the parish is able to run smoothly and efficiently in its day to day transactions.

We are looking for a reliable, committed person who is comfortable working across our diverse context with a strong work ethic and highly motivated outlook.

**KEY RESPONSIBILITIES**

**1. To undertake day to day secretarial and administrative tasks**

To assist with correspondence, typing and production of certificates as required by the Vicar and other staff.

To undertake diary management of parish appointments and events and to have some control over the Vicar’s diary, setting appointments and meetings.

To work closely with the Churchwardens to ensure efficient communication and organisation of events and activities across the parish.

To be responsible for ordering all church and parish equipment, stationery and maintaining office equipment

To work in close partnership with the Parish Finance Officer to ensure all financial documents are correctly processed.

To establish and maintain an efficient filing system for parish correspondence, records etc. that is acceptable to diocesan auditors.

To manage third party bookings of the church, the church hall, and associated properties and venues, and to pass on details of all bookings on to the Parish Finance Officer.

To work alongside other staff and volunteers to create an effective, efficient and positive office environment, offering occasional PA support to the Vicar.

To undertake any other ad hoc administrative duties as required

**2. To co‐ordinate and improve parish communications**

To set out, type and print weekly newsletters and assist with the maintenance of the parish website and social media presence and other communication needs.

To maintain databases for parish groups and a general parish database.

To take accurate minutes and records at meetings and to type up and distribute accordingly.

To be the point of liaison between the Parish and the Diocese, Local Authority, schools and other agencies.

**3. To organise and support liturgical and other parish events**

To prepare papers and certificates for baptisms, weddings and funerals, and to complete other arrangements and paperwork associated with such events, to ensure all weddings/funerals are properly staffed and recorded and to pass on the documentation of all events to the Parish Finance Officer.

To prepare liturgy books and orders of services, as required.

To keep parish records up to date (i.e. marriages and baptisms, etc), understanding the requirements of GDPR and associated legalities.

To help promote the churches as places and spaces for performances, concerts and venues, and to assist with bookings for special events and liaising with the Churchwardens and third parties to ensure events are effectively planned and delivered.

**PERSON SPECIFICATION**
- Are excited by the prospect of this role and playing a part in the long and rich story of the church in Tamworth;
- Are able to work alone, in a small team, and with wider groups;
- Are careful and dependable, with an eye for detail. They should be able to manage records and data effectively, and able to deal with a wide variety of correspondence effectively and efficiently;
- Have an excellent telephone manner, personable and approachable with a courteous attitude of care and hospitality to visitors;
- Are able to deal with a wide variety of people, including those who present with challenging or complex needs;
- Are someone able to work under direction and instruction, responding to crisis and unexpected events in a professional and calm manner;
- Are willing to be flexible in their approach; someone who committed to work with the wider team to ensure the success of projects, events or other activities;
- Are able to hold confidences, respect the occasionally delicate and pastorally sensitive nature of our work, and work within appropriate legal boundaries;
- As a faith-based organisation and place of Christian worship, our beliefs are central to everything we do. The post-holder will be expected to respect these beliefs and work actively to support our ministry and vision.
