About the Organisation

Based in Kinross, The Scottish Gliding Centre has almost 200 members and enjoys the reputation of being one of the oldest flying clubs in the UK, whilst also nationally recognised as one of the premier soaring centres. The Club now requires to recruit an experienced, part-time Office Administrator to provide admin support to the Board, the Club and its members. The hours tend to be seasonal with 25 hours per week during the summer months April to the end of October and 15 hours per week during the winter months from November to the end of March. The Club is happy to be reasonably flexible with start and finish times and there will likely be the opportunity for hybrid working once the initial training is complete.

About You

You will ideally be educated to degree level with experience in all of the Microsoft 365 Office Suite packages and a working knowledge of Sage/and or Xero would be helpful although not essential.

Previous customer service experience is essential as is your ability to use your initiative and resolve problems as they arise. It goes without saying that you will have excellent communication skills, both oral and written and the ability to quickly understand and utilise the Club's specialised admin software.

Possessing a calm, steady, disposition, you will be confidential with high levels of integrity, credibility and will be able to demonstrate empathy and sensitivity when dealing with club members, visitors and the general public.

**Summary of Position**:
To provide an efficient all-round admin service to the Club and its members, and be the first point of contact by telephone and in person to members, visitors and the general public.

**Key Areas of Responsibility**:
**Data Processing**
- Responsible for the oversight of club systems and data entry, including setting up and maintaining SOP’s and to offer volunteer training and supervision.

**Sales**
- Merchandise.
- Bunkhouse.
- New membership process and processing.

**Reception**
- Visitor Welcome and enquiries
- Member Enquiries
- Supplier & Contractors main point of contact

**Communication**
- Self-explanatory

**Health & Safety**
- Responsible for office health & safety

**Reporting**
- Responsible for the provision of monthly reports to Board

**Key Tasks**

**Data Processing**
- Input log sheets to GLAMS.
- Input new member details and update existing member details to GLAMS.
- General maintenance of GLAMS system.
- Recording of fuel sales, sim sales, tuckshop sales in Excel
- Recording of receipts, statements and importing customer transactions in Sage

**Sales**
- Administering sales of office items and general Club merchandise and items such as motorhome, electricity, charts, etc.
- Organising and administering sales of accommodation.
- Managing and maintaining Booking Hound.
- Providing a first class after sales customer service.

**Reception**
- First point of contact on site for visitors and members and the general public.
- Dealing with general member enquiries.
- Dealing with enquiries from the general public in person and by telephone.
- Dealing with and administering voucher sales or on the day Air Ex.

**Operations**
- Liaising with suppliers

**Health & Safety**
- Complying with office health and safety, ensuring that cables are tidy; that there are no trip hazards; fire extinguishers are regularly checked, etc., etc. and reporting any issues.

**Reporting**
- Providing monthly reports for all areas of responsibility where relevant - sales, membership etc.

**Job Types**: Part-time, Permanent

**Salary**: £13.50 per hour
