A global Healthcare Company based in London is seeking a Receptionist to join their team on a contract basis for 6 months initially.

Core Responsibilities:

- Present a polished, professional and positive image at all times
- Ensure confidentiality processes and procedures are upheld
- Manage the telephone switchboard, making sure calls are answered in a timely and courteous manner
- Keep the reception area clean and tidy
- Act as a company Fire Warden in the event of an incident and notifying all Visitors to the building of the Fire Assembly Point
- Support Technical Services Trainers in coordinating customer transport
- Keep your knowledge of the company's products and services up to date
- Ensure all Health, Safety & Security processes are followed with 1 Receptionist to act as First Aider

Hosting Visitors - Concierge
- Provide a warm and friendly welcome to all Visitors
- Act as a one stop shop for all Visitors to the building and coordinating all elements of the Front of House service they receive
- Provide assistance to global/affiliate Visitors to the building, from helping them before their arrival throughout their visit

Managing the Switchboard
- Answer and manage all inbound switchboard calls and transfer them to the appropriate team or individual
- Notice trends and escalate to departmental Managers and provide ongoing feedback

Front of House & Facilities Management
- Order Taxis for customers/visitors as and when requested
- Log and process Lost Property items
- Use the Cloudbooking facilities management system to monitor and make room,desk and visitor bookings
- Support our integrated Facilities Team with the following:

- Liaise with them on urgent issues
- Assist Security with unexpected Visitors/people who are not booked in/couriers
- Refer any staff facility request to the Team
- Managing Access Control Card Requests
- Monitor and update the spreadsheet for new requests (new cards, replacement cards and site access requests)
- Take photographs of any new starters and ensure all required information has been provided
- Print the pass
- Ensure card is either posted or handed to Reception before Bouygues close the case and follow up any exceptions to this

General Administration
- Coordinate all aspects of the Front of House admin, provided by People & Culture and IT, for New Starters, Leavers and Role Changers
- Liaise with People & Culture on any issues related to the New Starter process
- Provide support for the Building Services Manager
