POST**:Administrator**

HOURS: 32 hours per week (Monday to Thursday) or as agreed with the Administration and Finance Officer. Some evening work may be required.

PLACE OF WORK: The job is based at the Foxton Centre, Knowsley Street,
Preston, PR1 3SA, Marsh Lane, Preston and Kenmure
Lodge, Preston. Currently the main place of work will be at
Marsh Lane

EMPLOYER: The Foxton Centre Board of Trustees.

RESPONSIBLE TO: The Administration and Finance Officer

SALARY: Foxton Scale Point 8. Currently £23,438.00 (pro rata)

**Job Functions**:
1. Work with the Administration and Finance Manager and the Governance and Finance
Consultant to ensure the accurate preparation and maintenance of administrative financial records for the organisation in accordance with The Foxton Centre policies and procedures and in accordance with legislative and statutory requirements.

2. Provide effective and efficient administrative support to The Foxton Centre including members of the Board, Sub-Committees and staff.

3. Provide effective and efficient administrative and finance support to the
Administration and Finance Manager.

4. Keep comprehensive records of the Rents and Service Charges of the Foxton Centre housing schemes

**Main Tasks**:
*

(i). Ensure that the organisation’s petty cash systems and processes are accurately maintained.
(ii) Ensure that credit card payments and accounted for.
(iii) Order stock, monitor and maintain stock levels and undertake stock checks as agreed with the Chief Executive.
(iv) Undertake other tasks relating to this role as identified by the Administration and
Finance Manager or the Governance and Finance Consultant.
- **3. Administration - General **_
(i). Service The Foxton Centre Board and Sub-committee meetings when required by ensuring that in conjunction with the Chief Executive the agenda and supporting papers are prepared and distributed in a timely manner. Ensure that rooms are booked and make any necessary catering arrangements.
(ii). Attend the meetings of the Board and Sub-committees as required and to take the minutes of the meetings in the agreed format and to agreed standards.
(iii) Assist with the co-ordination and arrangements for cleaning and repairs to the organisation’s premises. Ensure that Health and Safety matters such as PAT testing and Fire Alarm testing are undertaken at the appropriate points.
(iv). Undertake other tasks relating to this role as reidentified by the Administration and
Finance Manager or the Governance and Finance Consultant.

**4.** _**Administration - Staffing **_
(i) Assist with the recruitment of staff.
(ii). Draft and issue new employees with statement of main terms document and contracts within the statutory time period.
(iii). Liaise with the Chief Executive, Operations Manager and Volunteer Co-ordinator to ensure all new staff and volunteers have or obtain a relevant DBS clearance before taking up their appointment.
(iv). Maintain all DBS records on Inform.
(v). Keep an up to date checklist of issue and expiry dates and issue numbers and ensure all relevant staff and volunteers have up to date DBS clearances.
(vi). Maintain a record of first aid training including qualification expiry dates.
(vii). Undertake other tasks relating to this role as identified by the Administration and
Finance Manager or the Governance and Finance Consultant.

Have the use of own transport and the willingness to travel to all sites in Preston (D)
