**Job Purpose**

The main responsibility of the Finance & Membership Executive is to support the Membership Officer and the business accounting activities. This includes raising, sending, and paying invoices, reconciling company accounts, and chasing late payments.

To ensure high levels of member satisfaction, by delivering outstanding customer service to ASFP members and officers.

The executive will also be required to complete administrative tasks, be on hand to answer queries raised by internal or external customers and cover any other necessary tasks that support the association.
- **Responsible for**_

**Membership**:

- Resolve any queries arising from the ASFP Council for membership approvals
- Circulating objections and comments from ASFP Council
- Once accepted and inducted as a member, then upload (new) member details to all appropriate media and data centres within public and the organizations forums
- Produce membership certificates and check returned renewal declaration process has been followed
- Communicate membership information relating to the organisation to all members in the agreed media and timescales
- Manage all membership data and make changes if agreed and/or appropriate in all forms of media whatever that may be
- Support the membership officer in all forms of proactive actions, events, and behaviors with the view to increasing new and maintaining current membership
- Produce reports in a timely manner relating to matters of membership in content(s) and format(s) agreed with the management and officers of the organisation
- Resolving problems with members access to website, passwords etc.

**Finance**:

- Support in relation to forming and publishing budget(s)
- Raise, dispatch, and manage all membership, events, training and customer invoices
- Reconciling bank statements daily
- Producing statements and reminders to outstanding debtors
- Conduct credit checks
- Ensuring Invoices are transferred from YM to Xero
- Updating contacts on Xero
- Liaise with auditors on production of annual accounts
- Processing payment of staff expenses
- Attend weekly accounts meetings
- Ensure older invoices are chased and actions are taken to reduce aged debt/credit control

**General Administration & Clerical**:

- Answer telephone enquiries
- Directing enquiries to the appropriate member of ASFP staff
- Coordinate all circulations (by whatever media) whether that be internal and/or external to the organisation
- Managing all collateral, information and/or publication requests
- Manage, maintain, develop, and report on all aspects of the YourMembership CRM database, records and/or accounts in-line with the agreed requirements and protocols of the organization
- Support and attend ASFP and external events and meetings as required
- Covering colleague absences with general administration as required

- Produce statements
- Process staff expenses payments via ExpenseIn
- Make supplier payments
- Add users and companies to YourMembership CRM Database
- Update user details on YourMembership CRM database
- Support of ASFP events (including some overnight stays)
- Office based (WFH Friday if suitable to business needs)
- **Basic Competency Requirements**:_
- Solid low-level accountancy and basic bookkeeping skills
- Solid understanding of financial systems and processes
- Strong analytical skills to evaluate financial data and make recommendations
- Ability to maintain and improve business and client relationships
- Excellent Organisational and administrations skills
- **ASFP Competency Requirements**:_
- GCSE Qualifications in English & Math
- Relevant AAT or bookkeeping accounting qualification advantageous
- Experience of CRM systems or knowledge of YourMembership CRM system a particular advantage
- Knowledge of Xero accounting software
- Use of ExpenseIn software

**Salary**: £27,000.00-£30,000.00 per year
