Transport Administrator

Howdens is looking for a Transport Administrator to join our transport team at our office in Raunds, Northamptonshire.
As the transport administrator, you will be responsible for supporting the Transport Supervisors in keeping the operation running smoothly and effectively. A main part of your focus will be keeping track of all deliveries throughout the day and communicating any delays with the correct departments. You will be expected to gather information from driver control sheets and update the internal systems daily.
**What will you be doing as a Transport Administrator;**
- Enter agency driver shifts onto driver log and raise purchase orders for all agencies used. Generate reports to show costs for week and number of agency shifts used and raise PO’s
- Inform finance of permanent hours worked and send through agency timesheets
- Investigate and resolve wage queries with TM in agreement.
- Collate sickness and absence reports for transport employees
- Create an attendance sheet for transport
- Holiday request management for transport
- Resource planning of transport staff, providing a forward view to supervisors
- Order uniform for internal transport and 3PL’s, including gloves and other items of safety equipment. Record what and when has been issued to individuals. Meet with suppliers and raise purchase orders
- Ensure stocks of vehicle bulbs and other small transport equipment is available when required, order and raise purchase orders
- Inform finance of any re-charges that need to be made for transfer of goods or services
- Set up new sap vendor requests where required.
- Raise purchase orders for repairs to vehicle wash, fuel pumps, ad blue, outside storage, consultancy, tacho downloads and others as requested
- Deal with invoice queries from both suppliers and our accounts team
- Deal with telephone queries from drivers, staff, agencies, other depots and suppliers
- Driving licence checks for permanent and agency drivers
- Ensure toll tag accounts are topped up and order replacement tags as necessary
- Archiving
- Record and send of staff expenses for payment
- Create all European legislative paperwork for Howden stock movements to European depots.
**Shift Patterns**:
The Transport team operates over 24 hours a day, Monday to Friday. We are looking for someone to work 2 pm to 10 pm Monday - Friday. During the peak periods (September & October) there is also an expectation to work a number of weekend shifts to support.
**What do I need to qualify for the Transport Administrator**:
- Ideally, but not essential, to have experience working in a Busy transport operation
- Able to effectively communicate with other depts and third parties
- Ability to plan workloads to achieve timed deadlines
- IT literate.
- Outstanding attention to detail when producing reports and logging data
- Communication - the successful applicant will need to communicate effectively with others, both within the company and with external providers
- Teamwork - the individual will need to work as part of the stock team and to work effectively with people at all levels in the organisation
- Organisation - the ideal person for this role will be able to organise their own workload to meet deadlines and assist others in organising theirs
- Analysis - the role-holder will need to display attention to detail, identifying and investigating any inconsistencies and communicating these in a timely fashion
