Main Purpose of Role
The Planning Control role is critical to the successful management and production of a large strategic client. The role reports to the Client Services Manager, and liaises with all relevant internal departments as well as outwork partners involved in the production of the work.
Role Description
Receiving regular updates from client on planned jobs and ensuring the information is correctly mapped to the our clients Job Planner’
Working with each department to input due dates for all tasks from artwork receipt through to postal despatch.
Providing regular updates to all departments on job and task status
Chairing the daily stand-up meetings identifying any concerns or issues raised on that call.
Raising any concerns with Client Services Manager and liaising with departmental managers to remediate any delivery problems.
Proactively liaising with all departments on peak periods of production to agree advanced planning.
Progress where necessary to ensure delivery plans are brought back in line.
Maximise opportunities for additional revenue wherever possible
To supply dates and times specific to customer’s expectations and business capabilities to customer services
To be the first point of contact for queries/updates requests for work allocated to the BAU team
Control and manage agreed timescale deliverables for the Professional services deliverables for the BAU team
Log all jobs in the required systems to enable management and tracking of any jobs.
Update the systems appropriately to ensure that the updates reflect the current status
Ensure both internal and external deliverables are fulfilled according to schedules dates and times given
To escalate conflicts of priorities to the relevant departments in a timely manner
Communicate and document any changes within schedule appropriately.
Attend and contribute appropriately to the daily production meetings
Continually evaluate and improve the relevant processes and procedures.
Supply regular updates detailing the work in progress as requested
If the schedule necessitates additional working hours, ensure this is communicated to the head of professional services prior to undertaking the work.
Communicate at all levels to ensure that the relevant personnel are kept up to date with any slippage or improvement in development time.
Check that the agreed checklist has been completed to ensure that the testing and go-live check lists have been completed.
Liaise with relevant departments to obtain any missing/incorrect information
Update existing and create new reports as required to measure the performance of the professional services department.
