**PURPOSE OF THE POST**

As Booking Coordinator you will be based at Caudwell International Children’s Centre, the UK’s first independent purpose-built facility dedicated to autism and neurodevelopmental disorders, located on the grounds of Keele University, Staffordshire.

A key part of the team responsible for the coordination and booking of all appointments relating to the clinical services, pre and post assessment support.

This role will need to have a close working relationship with the Applications, Operational and Clinical teams to understand the planned capacity and to ensure that this is effectively utilised.

As the first point of contact for families booking into our clinical services and workshops, you will need to gain a thorough awareness of these areas as you will be expected to manage the expectations of those accessing the services and be able to address their queries.

You will need to be meticulous in your approach to ensure that all families are booked into the correct appointments at the right time and have all of the required information they need in order to attend.

Your duties will also include offering administrative support to the Family Services department as required and co-ordinating front-desk activities, including distributing correspondence and redirecting phone calls. Driving continuous improvement.

You will be expected to manage your projects and tasks in a timely and efficient manner to ensure deadlines are met. An understanding of, and compliance with all contractual requirements. Ensuring that contractual KPI’s are achieved related to planning and scheduling of families assessments.

It is also vital that you have first class organisational skills and you have the ability to successfully prioritise workload. In addition, you must possess excellent verbal and written communication skills, to produce work to a very high standard of accuracy, demonstrating a keen eye for attention to detail.

**DUTIES AND RESPONSIBILITIES**

The following list of duties is not exhaustive:

- Booking all the relevant appointments with the right members of the clinical team taking account of their availability.
- Communicating with the families to ensure that they have the correct information at the correct time.
- Liaising with the families and the clinical team to ensure that the correct post-assessment appointments are booked in.
- Monitoring and managing the attendance at all appointments to ensure missed appointments are captured, reported and re-booked.
- Ensure appointment system is accurate and up-to-date.
- Assist the clinical team with all asscociated outcome reports and documentation to be issued to the families in a timely manner.
- Re-stocking of information leaflets as appropriate.
- Receive, sort and distribute any supporting information that arrives through the post.
- Supervise volunteers
- Maintain stock control of general office stationery and office consumables following financial process and systems.
- To inform of any complaints or compliments received and follow instruction from Line Manager on how to proceed.
