Key Purpose of Role:
- To provide support to the Financial Accountant and Accounts Assistant on a day-to-day basis ensuring the accuracy of financial information for the Aspire Defence Holdings group
- To be responsible for the processing of day-to-day purchase transactions and taking responsibility for the smooth running of the purchase ledger on Sage
- Assist in requisition creation, review, and matching process
- Ensure the purchase payment runs are accurate and complete
- Assist with month end procedures such as attaching PDF Journals to Sage
- Take control of the new supplier process ensuring that fraud prevention controls are adhered to.
- Become a PDF Adobe sign and Spindle expert
**Key Responsibilities**:
- Assist in the production of accurate and timely monthly management accounts and provide reporting and analysis as required
- Establish effective working relationships with Subcontractors, Mod and ADL Managers, in particular their finance teams.
- Become Sage expert
- Recording and checking of purchase and sales ledger transactions in the companies’ Sage accounting system
- Ensure supplier invoices are coded correctly and paid in accordance with their terms. Running purchase ledger payment run, getting/ chasing approval from the rest of the ADL team.
- Answering supplier queries. Maintaining supplier accounts.
- Managing and monitoring the authorisation process
- Scanning and filing all finance documents and invoices into the Spindle system on Sage. Ensuring the finance filing system is organised and tidy
- Keeping requisition, invoice and correspondence excels up to date and reconciled
- Ensure equipment lists and telephone lists are maintained and up to date

- Provide accounting service to Communications manager
- Assist Financial Controller, Finance Accountant and Assistant Accountant as and when required
**Qualifications**:
**Essential**:
- 5 GCSE Grade C passes or equivalent (to include Maths and English)
- Previous purchase or sales ledger experience
**Desirable**:
- User of MS Access or other IT database software.
- Working towards AAT qualification (or similar)
- Previous use of Sage Finance system
**Skills & Experience**:

- Excellent spreadsheet skills
- Previous purchase and sales ledger experience
- Ability to operate accounting systems
- Logical approach
- Ensures that standards are maintained, and procedures are followed
- Effective communication skills
- Good team player but able to work flexibly and independently

- Previous experience working within a small team
