**JOB DESCRIPTION: OFFICE & WELFARE ASSISTANT**

With overall responsibility to the Office Manager, the Country Cousins Office & Welfare Assistant is a key member of the office team, essential in the day to day running of the office and in supporting the Office Manager and Welfare Officer in their duties at the front desk.

**SKILLS REQUIRED**
- Lots of initiative, enthusiasm, energy, flexibility, creativity, dynamism and integrity;
- The ability to work as part of a team, as well as alone;
- Great concentration skills and ability to work in a busy office situation;
- A willingness to drive over North Devon is required;
- **Full & clean driver’s licence is essential;**:

- Effective problem-solving skills;
- Empathy for young people and host families;
- Previous experience in an office-based situation, including telephone, computer, typing and customer/interpersonal skill is preferred, but not necessary;
- Willingness to learn.

**COMMITMENT**

The Office & Welfare Assistant is contracted to work up to 40 hours per week, Monday to Friday, 9-5 and some Saturdays helping with departures and arrivals. At peak periods it may be necessary to work longer hours as necessitated by the demands of the post, and staff are expected to arrive 15 minutes early, and depart 15 minutes later to adequately fulfil all duties.

**RESPONSIBILITIES**

**Office Duties**:

- Sole responsibility of reception;
- Keep the reception area in a tidy fashion which is welcoming to visitors and to engage with visitors, students and staff in a professional manner.
- Ensuring visitors to the school use the Visitor’s Book;
- Keeping all social media up to date;
- Assisting with filing;
- Telephone duties (first to answer each call);
- Dealing with day-to-day enquiries;
- Cashing up;
- Risographing, Laminating; Photocopying;
- Enrolling students’ data (Channel School) on the database.
- Assisting with outgoing mail;
- Ensuring the kitchen and school noticeboards are kept clear and well presented;
- Ensuring the supply of marketing materials to clients.

**Welfare duties**:

- Help with visiting existing host families in Ilfracombe and outlying areas.
- Assistance as needed to place groups and resolution of any problems which may occur during the visit
- To share with the Welfare & Accommodation Officer: welcome student buses on arrival, as well as seeing them off on departure.
- Help in collecting feedback and complaints from students about their accommodation, etc.
- Updating host family records to ensure that correct data is stored and released;
- Coordinating with the Accommodation and Welfare Officer at all times, to avoid overbooking
- Communicating with the Accommodation and Welfare Officer regarding any issues, problems or questions you might have concerning accommodating students, a particular family, or complaints.
- Assisting with the filing during busy times to make sure it is completed on daily basis
- Assisting the Welfare department with host family communications
- Visiting new host families, filling in their enrolment form

**Possible Other Duties**
- Driving/accompanying students to activities/appointments;
- Ordering stationery and supplies;
- Typing letters (from notes and from templates);
- Anything else required to move the company forward

**General notes**:
The duties briefly outlined are given as a guideline only. Additional duties may be added by mutual consent.

Whilst the position is primarily office based, the organisation relies on teamwork and at times you may be required to provide assistance in other areas on-site and off-site.

**Salary**: £12.00 per hour
