**JOB DESCRIPTION: Examinations Assistant**

**Location: Sherborne School**

**Hours of Work**:The post holder is required to work from 8.00am to 5.00pm (less an hour for lunch) two days a week. No specific days are required, so there is scope for flexibility to fit the needs of the post-holder.

During examination periods it would be desirable for the Examinations Assistant to work more than two days a week. Examination periods include most of the Trinity Term (usually running from the start of term in mid-April through to the last public examination towards the end of June) and periods of internal examination. Currently there are four weeks of internal exams: the last week of November and February and a week in December and June. Flexibility in specific timings will be required to meet the demands of the post.

**Salary**:Actual £7,755.26 per annum for working 2 days per week (16 hours) during term time (34 working weeks plus 5.6 weeks paid holiday).

**Holiday**: The post holder will be entitled to school holidays, although there may be a requirement to come into work during some half terms to set up for internal exams. Attendance may be required on Bank Holidays that fall during term time, for which time off in lieu will be given. Time off will not generally be able to be taken during Sherborne School term time.

Principal Role

The post holder will be responsible for the administration, organisation and smooth running of all internal examinations, including scheduling of these exams, coordinating the rota of invigilation, setting up the examination rooms, starting and ending the exams and leading on the invigilation of the exams themselves.

The Examinations Assistant also deputises for the Examinations Officer in emergencies or during particularly busy periods. It is therefore important that the Examinations Assistant is familiar with all aspects of the administration of public examinations, in case s/he needs to step in to take them over. As such, a comprehensive understanding of the day-to-day running of exams is essential. This will include, but is not limited to, the following:

- Secure storage and distribution of examination papers and scripts, including become a ‘keyholder’ for the examination safes.
- The secure examination websites and the various boards’ electronic entry process.
- The External and Internal Examinations modules in iSAMS.
- Invigilation requirements, invigilation schedules and the duties and expectations of our invigilators.
- Access arrangements, laptop procedures etc.
- Arrangements for running internal and external examinations, including a thorough understanding of JCQ regulations and school policies.

Internal Exams
- To coordinate all internal examinations arrangements within school.
- To stay abreast of changes to JCQ and other relevant regulations and thereby ensure that, as far as is possible, all internal examinations comply with examination procedures and policies.
- To liaise with Heads of Department to ensure the preparation of entries and production of internal examination materials occurs smoothly in advance of the exams.
- To ensure that rooms are booked well in advance of each internal examination season.
- To issue entry slips and examination timetables to all students for internal exams.
- To produce and issue the internal exams timetables ensuring they are issued in accordance with the standard required by the school, noting access arrangements and clash supervisions.
- To liaise with relevant parties for setting up of examination rooms.
- To ensure exam rooms are correctly set up according to JCQ regulations.
- To ensure any clashes are noted and administered appropriately.
- To oversee invigilation of the internal examinations including liaising with teaching staff and external exam invigilators.
- To issue examination papers and to supply necessary stationery for internal exams.
- To produce the invigilation rotas for internal examinations.

Deputising for the Examinations Officer

In supporting the Examinations Officer, the Examinations Assistant would be expected to:

- Keep abreast of JCQ regulations.
- Be a designated ‘keyholder’ for access to secure materials and exam websites.
- Assist in the distribution, collection and dispatch of public examination papers.
- Be familiar with the processes for setting up public exam rooms.
- Ensure that opening and splitting of exam packages follow JCQ regulations.
- Be able to start / stop examinations in accordance with JCQ regulations.
- Invigilate in accordance with JCQ regulations.
- Coordinate isolation procedures and chaperone boys in isolation.
- Oversight of the collection and safe storage of scripts and other public examination materials.
- Assist in the training provided to invigilators and the set-up of the invigilation rota.
- Be familiar with iSAMS exams module, including procedures for results days and EARs.
- In conjunction with the Examinations Officer, to report any irregularities or
