**Job summary**:

- The Deputy Archivist’s main responsibility will be to supervise the Cataloguing Archivist team, distributing work and undertaking quality assurance, as well as cataloguing records to ISAD(G) standard. In addition to this, the development of the sensitivity review process and the transfer of relevant material to the National Archives will be a key responsibility in this role.**Job description**:

- Working alongside the Hillsborough Archivist to develop and implement processes for cataloguing, sensitivity review, redaction, file preparation, and transfer under the Public Records Act.
- Ensuring the IOPC generated records of the Hillsborough Investigation are catalogued to ISAD(G) standard following internal cataloguing guidance, in accordance with the requirements of the National Archives, checking and developing catalogue entries as required.
- Assisting the Hillsborough Archivist by supervising Cataloguing Archivists and colleagues carrying out sensitivity review work, including allocating and quality assuring their work.
- Developing and delivering training to IOPC colleagues in relevant processes related to Public Records Act compliance.
- Ensuring a wide range of stakeholders can easily navigate the IOPC generated archives by developing detailed indexes and descriptions, and contextual information with the use of Plain English.
- Leading on the development of organisational policies and procedures that support the sensitivity review process
- Reviewing paper and electronic records which have been selected for permanent preservation in order to determine if they contain sensitive material that would preclude such records from being transferred to the National Archives.
- Safeguarding information, ensuring it is not released unlawfully or restricted unnecessarily, and that information within the collection is managed lawfully under the terms of the Data Protection 2018 and Freedom of Information Acts.
- Organising the transfer of relevant material to the National archives, including assisting with file preparation.
- Identifying records which need to be retained due to sensitivity and assisting the Departmental Records Officer in arranging their retention.
- Working cooperatively, communicating and consulting with appropriate colleagues within the IOPC in order to maintain effective working relationships.
- Any other relevant duties appropriate to the grade as may be required.

**Person specification**:
**Experience**
- Experience of supervising work within a team.
- Experience of developing and delivering training.
- Extensive experience and understanding in archive cataloguing including developing catalogues, and archive cataloguing standards and principles.
- Experience of working towards compliance to Public Records Act, including cataloguing standards, sensitivity reviews, redaction, file preparation, and preservation.
- Experience of developing or using retention schedules.
- Experience of working with information within a Data Protection and Freedom of Information environment.
- Experience of working with discretion, confidentiality, and sensitivity.
- Experience of working to tight deadlines and adjusting working practices accordingly.
- High level of competence in MS Office and MS Excel in particular
- Knowledge of relevant legislation, standards, and procedures in relation to collections management.
- Understanding of the sensitivity review process.
