VNA are currently recruiting for a Personal Assistant to support one of our clients based in South East London on a full time, permanent basis. You will be expected as part of your role to attend evening meetings. Your working hours will be Monday - Friday8:00am

**Responsibilities**:
Some of your duties and responsibilities as a Personal Assistant will include:

- Provide administrative and organisational support to members of staff
- Undertake the typing and IT tasks required to produce correspondence and confidential documents
- Meet and greet visitors, ensuring they are welcomed in a polite, friendly, and efficient manner
- Attend confidential meetings, taking minutes, prepare documentation, meeting set deadlines, and distribute to relevant parties
- Liaise with internal and external stakeholders

- Develop and maintain filing systems
- Prepare agendas for meetings and to ensure all attendees receive relevant electronic meeting appointments and correspondence
- Carry out research for the Senior Leadership Team as required
- Open, sort and prioritise all correspondence
- Arrange hospitality requests for any events/meetings as requested by your manager
- Book and organise conferences
- Make and plan travel arrangements as necessary
- Coordinate and produce key publications
- Coordinate and manage the information to be uploaded onto the website ensuring it meets statutory requirements
- Plan and coordinate the production of key marketing publications and to ensure the effective and timely distribution to the target audience
- Prepare and issue press releases, to publicise achievements to the wider community
- Liaise with the Media and Communication team and the Senior Leadership Team to manage negative press
- Ensure that all polices are available to stakeholders
- To be responsible for the preparation of agendas and paperwork for all SLT meetings
- Operate the telephone system, answering call within the agreed quality standards, filtering calls, directing calls, taking, and communicating details messages (including electronic) as appropriate
- Work with Senior members of staff to recruit staff within all areas including placing adverts; liaising with applicants; setting up interviews and carrying out mandatory checks for new staff
- Work with the Business Manager on maintaining the Single Central Register
- Undertake First Aid and Fire Marshall duties
