**Position**: Administration Assistant
**Location**: Meadowfield or County Hall (County Durham), with flexibility for other workplaces
Are you an enthusiastic and organized individual looking for a temporary opportunity to contribute to the efficient operations of a customer-focused Support Services team? We are excited to announce a vacancy for an **Administration Assistant** within our clients Regeneration and Local Services department.
**Role Overview**:As an Administration Assistant, you will be an integral part of our Support Services team, working closely with Heads of Service and Technical Staff to provide high-quality back-office support. Your role will involve streamlining existing systems, promoting electronic data interchange, and enhancing service efficiency through lean systems thinking. You'll be a crucial team member responsible for facilitating effective communication, ensuring compliance with relevant policies and procedures, and participating in service improvement initiatives.
**Key Responsibilities**:
- Challenge and transform existing processes to develop lean systems, electronic data interchange, and electronic filing
- Assist in the creation of procedural guidance notes for various service functions
- Collaborate with a customer-focused team, participating in meetings and facilitating communication
- Identify risks within the service area and contribute to a positive culture of continuous improvement
- Support timely payment of invoices following P2P procedures
- Provide cover for colleagues during their absence by rotating duties
- Collaborate with colleagues across Business Support to address workload variations
- Handle post efficiently and effectively across various sites
- Assist in providing documents and reports for insurance claims
- Work with Technical Staff to ensure administrative support aligns with business needs
**Qualifications and Experience**:
- Minimum of 5 GCSEs (Grades A-C) or equivalent
- NVQ Level 3 in Business Administration (desirable)
- Proven experience in delivering results and working within a team
- Experience in challenging and improving administrative systems
- Practical knowledge of local government administration processes
- Familiarity with relevant legislation, policies, and safe working practices
- Strong written and oral communication skills
- Proficiency in ICT packages
**Skills and Personal Qualities**:
- Proactive approach to service development and improvement
- Knowledge of electronic post facilities and risk management processes
- Positive attitude committed to excellent customer service
- Able to adapt to travel requirements as an essential part of the role
