The post holder will be part of a team, responsible for providing a quality administrative, secretarial and reception service within a multi-disciplinary team.

The Staffordshire and Stoke on Trent Wellbeing Service is a creative organisation which embraces staff ideas to constantly seek ways of taking the service forward to adapt to changing expectations.

We have strong links with academic institutions with staff from the service teaching university courses devised in conjunction with MPFT.

Our staff lead professional development sessions locally and nationally and you will be actively encouraged to develop your practice through internal and external CPD opportunities.

Key Responsibilities

1. To be the first point of telephone contact for service users, carers, GPs, identifying urgent calls and prioritising responses. Dealing with enquiries which may at times be of a distressing nature/verbally aggressive and require sensitive handling.
2. To organise own workload using independent judgement to prioritise required tasks and duties.
3. To provide confidential secretarial and organisational support to all staff disciplines in the service including liaising with external agencies.
4. To maintain outlook calendars.
5. To use a range of office machinery including the use of computerised data systems and word processing facilities.
6. To open, sort and distribute mail ensuring that urgent mail receives appropriate attention.
7. To type reports and letters for team members, which may contain information of a distressing nature.
8. To carry out general office duties including photocopying and dealing with / ordering stationery levels and team supplies.
9. To support the team/ manager in organising the administrative function of the team.
10. To support the lone worker policy for any required home visits, ensuring that all clinicians are safe at the end of the working day.
11. To provide cover for administrator responsibilities due to absence.
12. To process referrals to the team and update patient files as and when required.
13. To take minutes of meetings, transcribe minutes and distribute to team members
14. To undertake such other duties as may be required.

To devise administrative systems to support the team in a changing business environment
