Be the first point of contact for telephone calls into the home, filtering calls and putting
callers through to the correct staff in a timely manner.
- Having a good relationship with home suppliers.
- Assist the manager with cost control procedures for cost effectiveness.
- To maintain Purchase Ledger by ensuring that all invoices are sent to head office in a timely
manner.
- Responsible for stock of stationery, kitchen stock, continence products and cleaning
chemicals.
- All admissions and discharges are reported to Head Office.
- To assist the Manager wherever possible.

Finance
- Responsible for the administration of the Petty Cash and to maintain monthly reconciliations
to head office.
- To ensure that invoicing is completed within the deadlines on a monthly basis.
- To chase relevant LA, CCG and individuals on any outstanding fees.
- Responsible for the distribution of Resident’s Personal Allowance with accurate records and
receipts being kept.
Payroll
- Assist the manager in processing the weekly payroll.
HR / Recruitment:

- Assisting the home manager with HR administration & recruitment processes.
- To assist the Registered Managers in implementing the ongoing recruitment process of new
staff.
- Ensure that all information is handled in a confidential manner, in line with the relevant
policies, e.g. GDPR.
- Assist in the development and implementation of new recruitment strategies within the
community to include advertising and career fairs.
- Conduct references checks, DBS Checks applicable, employment requirement checks relevant
to CQC.
- Placing advertisements online over a variety of different recruitment websites and promoting
incentives
- Managing a cost effective recruitment budget for best possible results.
General Duties
Assist the manager to,
- Maintain a Hazardous waste folder for CIW inspections
- Arrange the hoists to be serviced and mattresses, along with other services due e.g. Lifts ,
chimney sweep fire checks. Extinguishers and fire drills.
- Order our free PPE from the local council.
- Do PCR and LFT tests for the staff.
- Order our gas and coal.
- Book hospital transport for resident appointments
- Chase and book any agency staff required on the rota
- Order residential continence products

General Administration
- Photocopying
- Printing
- Scanning
- Typing
- Filing
- Shredding
Post
- Managing the incoming and outgoing post.
Post IN & OUT
- Sort incoming post into home post and resident’s post
- Date stamp Resident’s post envelopes and distribute
- Date stamp and distribute the home’s post
- Ensure outgoing post goes every day
Covid:

- Ensure Covid VOID invoices are submitted
- Ensure all Covid Funding / Grants are claimed
- Collate testing data (staff, residents and visitors)

SKILLS
- Relevant experience of office work with a Registered Social Landlord, Local Authority,
Public Service Organisation or medium/large private company & 4 GCSE’s (A-C) or
equivalent OR experience working in a similar role
- Knowledge of financial and administrative systems and procedures.
- Experience of using IT systems, particularly Microsoft Office suite of programmes.
- Ability to build effective working relationships with team members and customers.
- Good interpersonal and communication skills, both verbal and written with the ability to
communicate with a range of stakeholders.
- Aptitude and willingness to work flexibly in multi skilled Operational Teams
- Experience/have a good knowledge of recruiting and recruitment protocols in the care
industry are an advantage
- Purchase Ledger knowledge and experience, preferable having worked in the carehome
industry previously
