The Greenwich Charity of William Hatcliffe and the Misses Smith is looking to recruit a self-employed Clerk to the Trustees / Administrator. We are offering £10,200 and anticipate that this will cover around 6 days per month equivalent time.

**Who we are**

We are a long-established charity (c1622) which undertakes two classes of benevolent activity. We operate an Almshouse in Tuskar Street, Greenwich London, SE10 (13 older residents, able to live independently) and distribute grants to individuals and other organisations with the intention of helping older people in the Greenwich area to remain in their own homes. We have a Grants administrator who oversees the grant making work. The charity is a member of the umbrella organisation, The Almshouse Association, which provides guidance, advice and model policies and procedures about all aspects of running an almshouse charity.

The charity’s activities are overseen and guided by a board of Trustees.

**About the Role**

We are seeking a part-time Clerk to the Trustees / Administrator who will manage:

- the smooth and efficient running of meetings of Trustees and related committees.
- (with close support of the Chair and Treasurer) the compliance of the charity’s activities with various legislative and regulatory requirements as well as liaising with the charity’s auditors, solicitors, investment managers and the appointed property managing agent, Daniel Watney LLP.
- working with the managing agent, to oversee and manage liaison with the residents as well as working with their families and statutory bodies when required.
- We have an Expansion project and are looking to build more Almshouses in the future and you would be involved with that work.
- To take the lead with a small subcommittee of trustees to decide on the specification for a website for the charity and to get it set up and maintained.

**Who You Are**

**General Skills**
- Good administrative skills with ability to prioritise and plan work.
- Ability to schedule online meetings on Zoom or Microsoft Teams.
- Good communication skills and ability to relate to people at all levels, including residents, outside organisation and professional bodies.
- Ability to work with sensitivity and confidentiality with applicants and residents and within data protection regulations.

**Charity Governance and Trustees**
- Good command of written English, ability to record minutes accurately and summarise discussions concisely.
- Ability to work unsupervised but able to judge when to consult the Chair, the Treasurer or other Trustees.
- Ability to keep on top of needs of new or existing Trustees, to track expiry dates for terms of office and other key dates, and become knowledgeable of the charity’s regulatory obligations in order to comply with the Charity Commission and Companies House requirements.
- Ability to schedule the review and redrafting of policies and procedures.
- Ability to review and update the charity’s risk register in consultation with the Trustees
- Confidence and maturity to work with Trustees including: imparting relevant knowledge clearly; identifying relevant training opportunities; maintaining knowledge of the responsibilities of Charity Trustees.

**Financial Oversight**
- Financial literacy to keep a weather eye on the charity’s budget and investments, and an understanding of when there is a need to consult Trustees.
- Ability to update spreadsheets and reconcile to the bank statements

**Resident Oversight**
- Ability to be tactfully effective and professional in dealing with a wide range of people, including handling some potentially challenging situations with older people living alone and be able to identify when additional support is required.
- Basic understanding of, and if necessary, a willingness to learn more about, the responsibilities of being a social landlord and the availability of support services for older people.

We would expect you to get a DBS check for dealing with older people.

**What you get in return**

We will pay £10,200 per annum and would expect this to cover approximately 6 days per month. You would be expected to keep track of the hours you are working and be flexible as some of the meetings will be in the evenings. We expect you to be self employed.
