**Centre Operations Coordinator**

**£23,000 per annum**

This exciting role is working for an independent local charity who work to prepare adults impacted by homelessness, poverty and loneliness for a healthier, happier, independent and purposeful future.

This position would be suited to individuals with strong administration and people skills who is looking to embark upon a varied and rewarding role where you can really make a difference

As Centre Operations Coordinator you will perform a vital role in the efficient running of the Centre and all centre related activities. Working closely with the Chief Executive, staff and volunteers, you will ensure that the Centre is a vibrant, well-managedfacility that operates within a sustainable framework for the benefit of those impacted by homelessness, poverty or social exclusion. You will identify new opportunities to enhance our services by means of effective networking, marketing and innovative solutions.

**KEY RESPONSIBILITIES**

**Managing Services**

**_Centre Activities:_**
- Co-ordinating all Centre services, activities and events delivered from Queens Hall and High Street Place in Wellingborough
- Developing and maintaining effective working relationships with key local partners and all stakeholders
- Facilitating a range of client activities, workshops or events that positively support client’s health and wellbeing outcomes
- Supporting Centre staff to deliver person centred, outcomes focussed support services
- Working flexibly within the team to directly support clients as and where appropriate
- Acting as a first point of contact for all Centre queries including answering telephone calls, monitoring social media platforms and inboxes
- Promoting the Centre by maintaining social media platforms and creating quarterly newsletters
- Securing qualitative or quantitative client feedback and contributing to a Client Forum, ensuring our services are relevant and responsive to client needs
- Securing venue hire bookings, issuing hire agreements, completing site inductions and invoicing
- Ensuring venue hirers adhere to the terms and conditions of using our facilities and that their activities are compatible with the Organisation's core aims and values
- Completing all administrative tasks as directed by the Chief Executive

**_Meals Services:_**
- Supporting the Chef to provide a safe meal services environment that is compliant with food hygiene and safety regulations
- Controlling the purchases of all catering related items and supporting the Chef to maintain adequate stock levels in relation to sales
- Ensuring catering income is reconciled daily and all associated catering financial returns are undertaken correctly
- Seeking customer / client feedback on menu options ensuring the delivery of customer focussed meals services
- Liaising with external agencies to co-ordinate and record all enquiries and referrals to the meal’s services

**Managing Premises**
- Managing all health and safety requirements and undertaking site risk assessments as delegated by the Chief Executive
- Ensuring effective maintenance of the buildings including monitoring contracts, instructing repairs, and supervising / liaising with contractors
- Ordering Centre goods and supplies such as equipment, stationary and any other resources needed to ensure efficient operation of the Centre
- Liaising with contractors to ensure the efficient operation of our IT and telephone systems.
- Ensuring cost effective practices and spending aligns with agreed budgets
- Acting as an out of hours emergency call out contact for the premises

**Managing Staff and Volunteer Teams**
- Managing Centre staff undertaking bi-monthly supervisions, annual appraisals and addressing all performance related issues
- Managing teams of volunteers undertaking all recruitment, development and supervision as directed by the Chief Executive
- Managing appropriate rota systems to ensure all services and centre activities are adequately resourced with appropriate levels of cover
- Ensuring staff and volunteer compliance with all DCF policies and procedures
- Facilitating team meetings, ensuring all relevant information is disseminated to staff and volunteers and opportunities are created for participation in service improvements

**Managing Data, Monitoring & Reporting**
- Maintaining accurate client records, ensuring that all interventions and outcomes are recorded on the agreed management systems.
- Monitoring performance information and providing regular updates including monthly or quarterly reports as required.
- Conducting ongoing evaluations of support programmes and services, identifying changing trends or gaps in service provision, and making service improvement recommendations.
- Managing a customer relationship management system, recording interactions or correspondence with Supporters, Partners and Suppliers

**GENERAL TASKS**
- Creating positive relationships and treating all clients, staff, volunteers, and key stakeholders with dignity and respect, demonstrating an understanding of the Centres’ core aims and values.
- Adhering to all the Organisation's policy and procedures
- Complying with all health and safety requirements, taking reasonable care for the health and safety of yourself and others.
- Responding appropriately to any safeguarding concerns, demonstrating understanding and compliance with safeguarding procedures.
