Thomas Pocklington Trust (TPT) and RNIB are collaborating with organisations from both the sight loss and wider charity sector as well as corporate organisations to create new opportunities for blind and partially sighted people to find employment through the Get Set Progress Internship programme. General Optical Council is delighted to be offering an internship as part of the Get Set Progress scheme.

The Works For Me team will also continue to support you in securing valuable employment after your time on the GSP internship programme has ended.

**Job description**

Role: Administration Assistant Intern

Department: People & Culture Team (Human Resources)

Reporting to: Head of People & Culture

Location: 10 Old Bailey London EC4M 7NG

**Salary**: Based on Living Wage Foundation rates (location dependent)

Contract type: Fixed Term 9 months, full-time 34.5 hours per week

**Job Specification Information**

**Job purpose: Overview of the role**:
To support the People Team, Governance & Facilities Team with specific admin tasks and project work. Answering telephone calls and supporting our reception assistants. Photocopying paperwork and dealing with incoming and outgoing mail. Drafting and preparing letters for our new recognition scheme and helping with background checking for new employees. Supporting the EDI Manager with Equality Diversity and Inclusion projects both internally and externally to the organisation.

Key areas of responsibility:

- People Team:_
- Seek approval for monthly recognition nominations from the appropriate director.
- Draft, seek approval and issue letters to individual employees to inform of recognition awards.
- Update employees who have made recognition nominations on the status of nominations.
- Update the recognition data base each month to ensure budget accountability.
- Issue reference requests for new employees and follow up any non-returns.
- Check and confirm right to work status for all new employees. Ensure right to work documentation for new employees is saved to appropriate files.
- Work with managers to complete and update Occupational Health referrals.
- Governance:_
- Support the running of EDI training and workshop sessions for employees, members and workers.
- Organise and deliver a wellbeing initiative across the GOC, with support from the EDI Manager and Head of People and Culture
- Contribute to EDI pages of the intranet, including writing news articles.
- Assist staff networks in organising and running events.
- Facilities:_
- Support the Front desk reception as and when needed to meet and greet and answer telephones.
- Distribution of Incoming mail/scanning* (as above)
- Printing outgoing mail
- Franking outgoing mail
- Meeting Room setup
- Support with achieving project for historical documentation.
- Personal specification - Essential criteria:_
- Skills of basic data collation and analysis (Excel)
- Administration skills
- Customer service skills

- Willingness to travel to the TPT Hub in London for intern development events throughout the course of the internship programme.
- Having not previously undertaken the Get Set Progress internship programme.

- Skills in administration in a similar organization.
