**EXECUTIVE PA - OPERATIONS ASSISTANT**

**We are looking for a bright and dynamic Executive PA / Operations Assistant to be a right-hand support and co-manage three businesses alongside an energetic and successful businesswoman. This is an exciting opportunity to join this embryonic business with a growing team to assist and deliver on a Property Development Project due to be completed in 18 months, and thereafter the day to day operation and maintenance.**

There are five aspects to this role so your day is diverse and you will need to be able exceptionally efficient and able to multi-task and prioritise accordingly.

The general Outline of Responsibilities to include:
Project Management of a Country House Rental, Event and Wellness Retreat Venue, Farm Shop and Cookery, Business Hub
- Assist with the management of the various building projects and provide proactive PA and Administrative support with all day-to-day operations.
- Liaise with Architects, Building Contractors, Suppliers & Tradesmen
- Business Development and Marketing for the project
- Staffing for the properties
- Installation and furnishing of the properties
- Calendar Management including organising Teams Meetings, Site Meetings, Appointments and Travel arrangements.
- Ensuring all Filing, Meeting Notes are kept up to date.
- Managing Utilities, Council Tax & Insurances

The Interior Design Office Administration:

- Assist with Sourcing Samples, Ordering & Purchasing of Fixtures & Fittings for all the associated properties
- Communicate with Fabric, Paint, Wallpaper & Special Finishes Suppliers
- Coordinate Deliveries for Storage / Upholsterers / Restorers / Soft Furnishing / Art
- Produce Project Schedules.
- Diary Management.

Party / Wedding Venue Administration
- Maintain and Update Database
- Prepare and Send Invitations via Mailchimp for Events
- Hard Copy and OneDrive / Dropbox filing of all reports, documents and maintenance of Office filing systems together with maintaining all general office administration
- Ensure all Health and Safety Certificates are kept up to date
- Manage all Marketing (to include social media) and PR - Liaise with local Press and PR Agencies if required.
- Regularly update Instagram and Facebooks Feeds with latest news, photos or upcoming events.
- Source artwork for marketing material and event invitations.
- Help organise/manage events to include Liaising with Chefs, Catering Hire and Suppliers, Coordinating staffing to include waiters, cleaners, gardeners, maintaining a costing for each event and working within a budget.

The Cottage Rental
- A supporting role - liaising with rental agent, the principal and the housekeeper to ensure the smooth running of the Cottage Rental and its changeovers
- Entering bookings into the diary and ensuring it is kept up to date
- Coordinate with trades regarding any maintenance building repairs and redecoration and replacement furnishing.

General PA responsibilities:

- Assist with the management of the Principal’s personal finances to include share portfolios and other family investments.
- Book travel arrangements, hotel accommodation, assisting with day-to-day administration, booking of appointments and diary management
- Create Inventory Schedules for all properties
- Yearly renewal of Insurances for all properties
- Regular review of all utilities, phone, internet and any other contracts to achieve best rates and implement necessary changes

**THE ROLE REQUIREMENTS**
- Conscientious and discreet, with a very professional and personable manner.
- Be able to take instructions and carry out all tasks in a timely manner and be highly organised with exceptional attention to detail.
- Work under own initiative, with a pro-active approach and a willingness to learn new skills.
- IT literate, with experience in Microsoft Office, Excel Spreadsheets, SharePoint, Mailchimp and OneDrive on both PC’s and Mac’s.
- Experience in Office Administration is essential in order to assist the principal with her various projects.
- A Knowledge of Adobe InDesign and AutoCAD would be advantageous, although not essential.

You must be able to drive and have own transport and be available to attend site visits when required and meetings with contractors and suppliers.

Salary dependent on relevant experience, from £40,000 to £50,000.
