The White Horse Medical Practice is a rapidly expanding training and dispensing GP Practice of over 70 staff. We are a friendly, progressive and forward-thinking practice and are always striving for efficiency and excellence in patient care. You will be joining the Business Support Department consisting of 12 staff working in a modern off site serviced office. The team pride themselves on working collaboratively to provide excellent administrative support to the wider practice. With an opportunity to work flexible hours to accommodate personal need and opportunity to work from home on occasions.

**Main Job Responsibilities**
- Processing all registrations and deductions for the practice, including resolving any errors (duplication, not connecting to the spine etc). Ensuring all registration forms are scanned on to patient notes.
- Balancing GP Capacity to make sure that new registrations are being allocated evenly to all GPs depending on number of sessions worked.
- Managing the registrations workflow which includes:

- Deductions - making sure that patients are being deducted for the right reasons and that they have no outstanding appointments due. Managing any rejected deductions to ensure the appropriate action is taken.
- Amendments - checking to make sure the newly registered patients are being registered with the correct details and correcting any mistakes. Often having to liaise with patients to confirm details.
- Rejections - address any registrations that have been rejected by the PCSE, rectifying and issues and liaising with the patients to establish any missing details and making sure the correct patient is matched to the registration.
- FP69’s - checking whether patients are still living at their registered address and feedback the information to the PCSE.
- Monitoring the FP22 record returns list, making sure any incorrect patients are highlighted to ensure notes are kept on the premises.
- Filing incoming GP2GP electronic records and contacting patient’s previous practices for summaries if GP2GP process fails.
- Filing all incoming Medication Authorisation requested and marking all incoming medication as ‘past prescribed’ to enable our GPs to review their medication before it is issued from the practice for the first time.
- Requesting military healthcare records for ex-service members who have registered with the practice.
- Ensuring accuracy of patient list and ensuring any ‘ghost patients’ are removed.
- Digitising patient paper records
- Requesting new patient summaries from previous GP practice when GP2GP fails.
- Printing & returning paper notes to PCSE for all patient leaving the practice.

**Person Specification**

Essential
- Being able to work well independently and within a team
- Self-motivated and able to manage your workload independently
- Excellent organisational skills with good attention to detail
- Positive attitude and a willingness to get involved and support the team as a whole
- Computer literate or an ability to learn

Desired but not essential
- Administration experience within a GP practice
- Previous experience working with the clinical system EMIS Web and Docman (not essential as all training and support will be given)

**Job Type**: Part-time
Part-time hours: 16 per week

**Salary**: £10.50 per hour
