**Primary Responsibilities**: The following are the core responsibilities of the senior receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels. The senior receptionist is responsible for supervising and supporting the reception team, ensuring they achieve their primary responsibilities: a. Maintaining and monitoring the practice appointment system b.

Process personal, telephone and e-requests for appointments c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately d. Signpost patients to the correct service e. Initiating contact with and responding to, requests from patients, team members and external agencies f.

Read code data on EMIS Web, where relevant to role g. Photocopy documentation as required h. Prepare and monitor reception staff rotas, ensuring appropriate cover for absences i. Input data into the patients healthcare records as necessary j.

Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team k. Manage all queries as necessary in an efficient manner l. Maintain a clean, tidy, effective working area at all times m.

Monitor and maintain the reception area and notice boards, ensuring out of date leaflets are removed in a timely manner n. Support all clinical staff with general tasks as requested Secondary Responsibilities: In addition to the primary responsibilities, the senior receptionist may be requested to: a. Partake in audit as directed by the audit lead b. Provide reception staff to support administrative teams during periods of staff absence c.

Produce, maintain and participate in the receptionist rota for lunch and out of hours cover d. Support reception staff development, providing guidance and direction, ensuring staff are up to date with mandatory training e. Identify and provide team training where required f. Support the Management Team in producing and maintaining the duty rota, appointment system and completing opening and closing procedures in accordance practice policy g.

As required support the clinical and administration teams in time critical functions, ensuring they are processed accurately and efficiently h. Support health promotion by displaying promotional material on the allocated noticed boards and in the waiting room
