Facilities Supervisor

**Reports to**:Head of Estates and Facilities Manager
**Location**:This post will involve travel between and working at both the Isleworth Campus and the Skills + Logistics Centre in Feltham.
**The purpose of the post is**:to supervise and support the facilities team in order to provide a comprehensive facilities service and safe working environment for all staff, students and visitors within West Thames College.
Supervisory duties:
1. Deputise for the Head of Estates in their absence as and when required, covering all facilities matters.
2. Provide training and induction in all relevant duties for new and existing facilities staff as required by West Thames College.
3. Act as a key holder and respond to problems and or emergencies on College sites as required or directed.
4. Regularly inspect the College estate and facilities to ensure that repairs and maintenance issues are identified and promptly dealt with.
The main duties and responsibilities are to:
5. Opening/closing of buildings and security alarms, as needed to support the College.
6. Assist in maintaining a clean and welcoming environment in and around the College.
7. Log, respond to, and resolve jobs raised via the College’s central Helpdesk.
8. Coordinate compliance maintenance activities, for example: portable appliance testing, emergency lighting testing, Weekly testing of fire alarm call point and sounders along with monitoring and recording of such compliance activities.
9. Arrange grounds maintenance relating to, the leaf clearing of gullies and guttering, snow clearance and the gritting/salting of pathways when necessary.
10. Arrange disposal of refuse and items of redundant furniture and equipment as directed and in accordance with WEEE regulations e.g. skips, wheeled waste bins or compactor.
11. Ensure internal mail, small packages, receiving goods deliveries are stored securely and where required arrange prompt onward delivery.
12. Completion of all associated paperwork to comply with goods inwards, checking of completed contracted work and signing where necessary.
13. Ensure administration relating to college vehicles for example: licensing, MOT, insurance, servicing, congestion charge records are kept. Keeps the Facilities Manager appraised of renewal dates and ad hoc charges.
14. Ensure vehicle pre and post use checks are completed by drivers.
15. Driving duties, as required, including but not limited to, internal/external porterage and the collection/delivery of goods from local traders and suppliers.
16. Assisting with the setting up of rooms and open spaces for college events, open days, examinations etc.
17. Undertake basic routine maintenance tasks including, replacement of defective light bulbs and tubes, repairs to fixtures and furniture, painting, fixing shelves, maintaining and replacing locks and door furniture.
18. Attend to emergency repairs, isolating mains water/electrical/gas supplies where required and undertake necessary remedial action to make safe, College equipment/facilities.
19. Manage the College’s water hygiene programme and completion of associated documentation for recording purposes.
20. First College point of contact with contractors and suppliers.
21. Sub-contractor Induction and supervision along with monitoring including checking works carried out, signing off jobs sheets and recording may also be required.
22. Provide contractors with permits to work, as required.
23. Keeps a full set of college master keys.
24. Supervises the purchase and allocation of college keys.
25. Check utility invoices against, non-smart meter readings.
26. Undertake any Health & Safety duties as prescribed by the Head of Estates and Facilities.
Generic Duties:
27. Attend and Participate in College meetings as necessary and actively promote college policies.
28. Follow the requirements of the College’s health and safety policy and comply with the College financial regulations.
29. Participate in staff development activities and undertake further training as part of your continuing professional development.
30. Work flexibly in order to satisfy the organisational needs, including enrolment and occasional evening or weekend work.
31. Maintain confidentiality of information acquired in the course of undertaking duties relating to staff, students, and visitors, and adhere to the College’s Data Protection Policy and the Data Protection legislation.
32. Uphold and promote College policies, procedures and controls, including the College’s Equal Opportunities policy and promoting those specifically applicable to this area of work.
33. Promote a positive image of the College in all contacts with staff, students, visitors and contractors.
34. Carry out other reasonably comparable duties that may be required from time to time.
35. Complete Health & Safety and First Aid training and be part of the Health and Safety
