**Job Purpose**:
The purpose of the role is to:

- Offer general assistance and support to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Receive, support and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way
- Undertake a variety of administrative duties to assist in the smooth running of the practice. Provide support to clinical staff and other members of the practice team
- Facilitate effective communication between patients, members of the Primary Health Care Team, Secondary Care, and other associated healthcare agencies

**Key duties and responsibilities**:
The duties and responsibilities to be undertaken by members of the practice receptionist/ administration team may include any or all the items listed below. Duties may be varied from time to time under the direction of the Office Supervisor or Practice Manager on current and evolving practice workloads and staffing levels:

- To provide friendly and efficient reception services to our patients and visitors to the practice, both at reception and on the telephone
- To effectively handle messages as part of the healthcare team
- To use the practice computer system to register patients (including temporary patients), to make appointments, to prepare repeat prescriptions, and to up-date patient data, in accordance with practice procedures
- To action pathology results received over the electronic link in accordance with practice procedures
- To maintain accurate filing systems for patient medical records
- To action tasks as requested by the clincial team in accordance with practice procedure
- To complete all mandatory training using designated online resource provider. On occasion this will entail attending courses at another venue.
- To read code correspondence into patients computerised records (not all staff will be required to do this)
- To scan incoming mail into patients records in accordance with the practice procedure. Summarising medical records as and when required
- To report complaints, comments and significant incidents from patients, visitors, and staff, to the Office supervisor and or Practice Manager in compliance with Practice policy
- To support delivery of extended hours access
- To support the patient care team across the remaining practices within the Primary Care Network as and when required
- To be flexibile in order to support colleagues to cover planned and unplanned absences.

**Personal/professional development**:
The post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:

- Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development
- Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work
- To work collectively as a team, and develop knowledge, skills to work independently

**Quality**:
The post-holder will strive to maintain quality within the practice, and will:

- Alert other team members to issues of quality and risk
- Assess own performance and take accountability for own actions, either directly or under supervision
- Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
- Work effectively with individuals in other agencies to meet patients’ needs
- Effectively manage own time, workload, and resources
