PURPOSE OF THE ROLE

As Stock Controller you will:

- Ensure that all physical stock is cared for during its journey from source to sale
- Ensure that all stockrooms are well organised
- Maintain accurate and up to date stock records
- Inform the Merchandising and Buying Manager of discrepancies or shortages which could result in loss of sales
- Improves the quality of stock control via well organised stock areas and accurate stock records
- Enable sales by ensuring that product is easily accessed and found
- Provide good levels of stock to support product demonstrations and exhibitions
- Help to achieve positive outcomes from activities and engagement, whilst proactively providing guidance and assistance as required
- Provide up to date product and stock information for the retail experience team enabling them to confidently engage with visitors both physical and online

KEY DUTIES

Physical Stock Control
- Checks all stock coming into the Shop highlighting any issues (including breakages and shortages) to the Merchandising and Buying Manager
- Organises and optimises the stock areas, so that they reflect salesfloor operations-laid out in product stories, with carefully labelled shelves enabling easy access to products
- Ensures that all products in stock have correct barcodes
- Responsible for the security of stock, working with The Shop Manager, Merchandising and Buying Manager and Security Team
- Carries out regular cyclical counts and updates stock on the retail system; reporting discrepancies to Finance Team and Retail managers and propose actions to reduce discrepancies
- Liaise with The Shop Manager, to lead execution of the twice yearly stocktake
- Manage stock to ensure that any stock taken for exhibition, windows, press or marketing purposes continues to be monitored

Inventory Record Maintenance & Product Information
- Monitors all stock systems to ensure accuracy
- Updates to stock systems as appropriate recording/investigating any shortfalls
- Register new product information to the retail system to be ready sold in The Shop and online
- Work with The Shop team and process loss reports in a timely manner and keep inventory data correct
- Prepare inventory report for the beginning and end of each month
- Support Merchandising and Buying Manager to issue new launch product list to help retail experience team in serving customers.

Risk Management
- Contributes to the retail risk register providing stock control information and concerns

EXPERIENCE
- 2+ years of experience of working as a stock controller in retail industry
- Experience using some inventory management system is a plus
- An understanding of Japanese culture and history would be an advantage

CAPABILITIES
- High business standard English language skills are essential
- Other language skills, including Japanese, are advantageous
- Exceptional standard of customer service through well-established and effective communication skills
- Places the customer at the heart of what they do, engages and listens and responds to deliver exemplary support function capability
- Support the culture of service excellence, both internally and externally
- Ability to multi-task and prioritize work, whilst paying attention to detail
- Excellent time management skills
- A creative mind with an ability to suggest improvements

WORK ENVIRONMENT

You will be based primarily on site at Japan House London, Kensington High Street, and there will be limited flexibility for remote working.
- Most duties will be carried out in JHL back of house spaces.
- Standard working hours are 8 hours per day, Monday to Friday
- Occasional weekend and evening working.
- Additional after-hours project and event-related work may often be required.
