**The Organisation**:
Work Based Learning (WBL) forms a significant part of the University of Sunderland commercial portfolio and includes the development of CPD short courses in addition to degree apprenticeships. This post is part of the WBL team within the Enterprise and Innovation Directorate and plays a key role in ensuring compliance within the ESF portfolio.

**Main Purpose of Role**:
The purpose of the role is to implement and monitor robust and efficient compliance for the full WBL portfolio. This will include the development and updating of procedures, protocols and policies accordingly ensuring that External requirements are met.

**Responsibilities/key duties**
- Establish financial administration and compliance processes in line with requirements of external regulatory bodies.
- Maintain and monitor budget information and financial records for the project using the Universities systems and procedures.
- Manage the co-ordination, monitoring, review, development and maintenance of systems and documentation as required by regulatory bodies.
- Provide detailed monthly management information to assess performance within against WBL projects including pipeline tracking, marketing activity, enrolments, progression and completion data.
- Ensure all polices both internal and external WBL provision are adhered to.
- Analyse data from a range of sources to ensure completeness, accuracy and eligibility by reference to regulatory bodies.
- Support the planning, organisation and preparation for internal and external project audits.
- Manage all electronic and paper systems to ensure efficiency, transparency and comprehensive data management.
- Track, monitor and raise project codes, invoices, purchase orders and establish budget tracking documents relating to the WBL provision.
- Develop and maintain a central system of electronic and paper records as required.
- Manage processes for the utilisation of external suppliers and ATs, raising contracts and letters of agreement (using approved templates or University systems).
- Contribute to the strategy for the development and distribution of feedback and evaluation for the WBL portfolio.
- Manage the contract process with support from WBL Assistants (ESF) including sign off, record keeping and maintenance of information.
- Manage and ensure compliance with GDPR regulations and ensure policies are adhered to.
- Work closely with colleagues within the University finance team to ensure accurate/timely income and expenditure recognition.
- Collate, compile and assess information and data to support improvement in practices and procedures and to ensure accuracy of data returns.
- Manage and report on the tracking of student numbers/recruitment across the WBL portfolio.
- Undertake any other duties which are deemed commensurate with the post that will contribute to the effective and efficient implementation of the WBL portfolio.

**Special Circumstances**:
The role holder is required to have a flexible approach to working arrangements as and when appropriate. The ability to take holidays may be restricted at certain times dependent upon business demand.

- Numerate with strong analytical, budgeting and administrative skills
- High level of influencing skills
- Experience of maintaining office systems
- Financial reporting skills
- Ability to develop and maintain complex spreadsheets

**Desirable**

**Knowledge and Experience**:

- Understanding of the ESF funding rules
- Extensive experience of the Higher Education Sector and commercial activity within the sector e.g. training, CPD and/or apprenticeships
- Experience of University systems and reporting including SITs
