An exciting opportunity has arisen for a Band 3 Secretary to join our Cellular Pathology Department.

Working as part of the team, you will be expected to provide a high quality, comprehensive, and confidential secretarial service to the Department.

You will be expected to input specimens details, descriptions and reports onto the Laboratory information management system. To take part in quality assurance within the role to maintain department standards, as set out by UKAS ISO15189.

All tasks will be completed following departmental standard operating procedures. The post holder will undergo a period of training then will work unsupervised once deem competent.

1. Use the pathology IT system (Winpath) to input and retrieve information concerning patients and specimens, maintaining at all times a high degree of accuracy.

2. Produce accurately typed and formatted Cellular Pathology reports from handwritten or audio dictation, using template reports where available. These reports are confidential and may be of a sensitive nature e.g. cancer diagnosis, fertility assessment etc.

3. Accurately upload reports from external providers to Winpath. This may involve copy-typing hard copies, or copy-and-pasting electronic reports, with subsequent formatting to bring the reports in line with Cellular Pathology report templates.

4. Type letters and other correspondence for Cellular Pathology medical staff.

5. Print Cellular Pathology reports when necessary, for distribution via post or fax.

6. Attend to incoming telephone calls and enquiries from internal and external service users.

7. Book appointments for patients requiring fertility testing.

8. Manage own day-to-day workload, including reviewing workflow within the Cellular Pathology office (in conjunction with other office colleagues) as and when necessary to ensure the most streamlined approach to work is taken.

9. After appropriate training, be able to work independently following appropriate departmental protocols.

10. Write and, when necessary, update Standard Operating Procedures, Risk Assessments and other Quality management documents, as required for the Cellular Pathology office processes, under the guidance of the Departmental Quality Lead.

11. Participate in Departmental Quality Management processes including carrying out audits, incident reporting, and SOP review.

12. Obtain information from IT systems such as Medway, GP surgeries, or other outside organisations, with regard to patient medical history/ change of personal details/change of GP etc. Where necessary, discuss this information with a consultant, and accurately transfer this information to the specimen form and/or Winpath.

13. Co-ordinate transfer of pathology archive material to and from the Trust’s offsite storage facility.

14. Participate in Multi-disciplinary Team (MDT) meeting preparation, slide filing, culling of archive material.

15. General office duties as designated by line manager.
