An exciting opportunity has arisen for a Family History Co-ordinator for the Breast Family History Service working with a delegated number of consultants and nurses at the Breast Institute of Nottingham University Hospitals Trust based at the City Hospital Campus.

Main duties of the job- You will have access to sensitive and confidential information and will therefore need to be able to maintain sensitivity and empathy while behaving in a professional manner.

Your main duties will include:
Word process clinical letters from audio dictation, using Winscribe.

Create correspondence as appropriate from predefined templates.

Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines.

Reduce and cancel clinics.

The making and receiving of telephone calls to/from patients/GP’s dealing with sensitive issues in a confidential manner and with empathy.

Making and changing appointments using the Medway, NBSS and CRIS systems.

Booking of specialised investigations ie: mammatomes & markers, recording these in the diary and informing the appropriate people where necessary.

Monitor the unreported radiology reports on CRIS.

To be able to give advice and information pertaining to the National Breast Screening Programme to medical staff and members of the general public.

The co-ordination and running of the gene positive tea party.

Managing the Genie Girls Facebook page.

The co-ordination of the high risk family history patients for Nottingham, Lincoln and King’s Mill.

To work with members of the MDT team to ensure all high risk results go through an MDT meetings.

Responsible for sending out results.

Attend meetings and take minutes.

To capture data on all patients and assist in the development of systems.

To create genetic posters for training days, as appropriate.

Responsible for adding patients to the partial booking waiting list.

Responsible for dealing with consultant, nurse and visitor queries

Distributing and opening in-coming mail timely and dealing with appropriately.

Support and mentor new staff.

Undertake any other duties, which may reasonably be required.

- NVQ 3 in Business management or equivalent experience
- RSA II word processing/text processing (or equivalent)
- GCSE Grade C (or equivalent) English and Mathematics
- Knowledge of medical terminology
- Excellent IT and keyboard skills
- Evidence of commitment to continued learning or improvement through attendances at courses

Desirable criteria
- Knowledge of hospital systems

Experience

Essential criteria

- Proven experience of working within a clerical environment
- Proven experience of waiting list management within the NHS
