Reservations Agent

Full Time - 40 Hours Per Week - £10.42 per hour

To liaise with all clients, ascertaining their requirements and coordinating these needs to ensure the successful execution of their booking.

**Principle job duties and responsibilities**:

- Processes reservations by mail, telephone, walk-ins, website and fax.
- Processes reservations from the sales office, other hotel departments, and travel agents.
- Knows the type of rooms available as well as their location and layout.
- Knows the selling status, rates, and benefits of all packages plans.
- Knows the credit policy of the hotel and how to code each reservation.
- Creates and maintains reservation records by date of arrival and alphabetical listing.
- Determines room rates based on the selling tactics of the hotel.
- Communicates reservation information to the front desk.
- Processes cancellations and modifications and relays this information to the front desk.
- To understand the Comp and House Policy and ensure that is maintained at all times.
- Understands the hotel's policy on guaranteed reservations and no-shows.
- Processes advance deposits on reservations.
- Prepares expected arrival list for front office use.
- Handles daily correspondence. Responds to enquires and makes reservations as needed.
- Always maintains a clean and neat appearance and work area.
- Show round clients as required.
- Assist with groups, contracts, rooming lists and deposit/full amount collections from clients.
- Assist manager with maintenance of systems, rate codes and close out procedures.
- To be fully aware of and adhere to health and safety, fire and bomb threat procedures.
- Open and close the availability as and when required of hotel in all the GDS channels, IDS channels and on the hotel website.
- Balance Room Types to ensure that true availability is always available. Monitor extranets.
- To maximise revenue by converting enquiries, recognising business prospects and opportunities to upsell venue services.
- Exercise effectively listening to capture relevant information and provide a premium experience for the guest.
- Liaising with accounts regarding credit, deposits, chasing payments and payments.
- Create charge sheets and pro-forma invoice
- To be constantly aware of new business opportunities and action the requirements and pass on details to the Sales Manager.
- To follow up on all enquiries with a pro-active approach to win more sales and generate additional revenue.
- Checking arrivals, 3-day correspondence checks and charge credit cards for all advanced purchase.
